- Position Summary

Karauli Diagnostics is looking for an experienced and highly capable Operations Manager to take complete ownership of the operational functioning of its multi-centre diagnostic network.

This is a centralized operations management role, responsible for monitoring, coordinating, and controlling the operations of 4–5 diagnostic centres with an overall workforce of approximately 170–180 employees.

The Operations Manager will function as the organization's central Operations Control Tower, ensuring that all centres operate in a standardized, disciplined, efficient, and patient-centric manner.

The role will have responsibility for multi-centre operational planning, manpower deployment, modality-wise productivity, patient flow, TAT, SOP implementation, MIS, performance monitoring, escalation management, and continuous operational improvement.

The ideal candidate should have strong hands-on experience in diagnostic centre or hospital operations, with a comprehensive understanding of multiple diagnostic modalities including MRI, CT, X-Ray, USG, Mammography, Pathology/Laboratory, and other applicable services.

- Key ResponsibilitiesA. Multi-Centre Operations Management

- Take overall responsibility for the day-to-day operational functioning of all assigned diagnostic centres.
- Act as the central coordination and control point for 4–5 centres.
- Monitor centre-wise performance, productivity, service quality, manpower utilization, and operational efficiency.
- Ensure consistent implementation of operational policies and standards across all centres.
- Identify operational bottlenecks and ensure timely corrective action.
- Establish clear accountability across centre and departmental teams.
- Ensure smooth coordination between clinical, technical, administrative, front-office, and support functions.
- Conduct regular operational reviews with Centre Managers and modality heads.

B. Modality-Wise Operations Management

Ensure efficient functioning and accountability across major diagnostic modalities, including:

- MRI
- CT Scan
- X-Ray
- Ultrasound / USG
- Mammography
- Pathology / Laboratory
- Other diagnostic services applicable to the organization

Responsibilities include:
- Monitor modality-wise workload and productivity.
- Review equipment utilization and operational capacity.
- Monitor technician and support-staff productivity.
- Identify underutilization, bottlenecks, and capacity constraints.
- Ensure appropriate manpower deployment based on workload.
- Monitor modality-wise TAT and service delivery.
- Coordinate with modality heads and technical teams to resolve operational issues.
- Ensure adherence to approved SOPs and operational protocols.

C. Manpower Planning & Workforce Management
- Plan and monitor manpower requirements across all diagnostic centres.
- Ensure optimum deployment of approximately 170–180 employees across centres and departments.
- Review staff rosters, attendance, leave, shift schedules, and manpower availability.
- Ensure appropriate staffing based on patient volume and operational requirements.
- Identify manpower shortages, excess deployment, and productivity gaps.
- Coordinate with HR for recruitment and replacement requirements.
- Monitor employee productivity and departmental manpower utilization.
- Ensure effective utilization of technicians, nurses, front-office staff, and support personnel.
- Support management in manpower restructuring and workforce optimization.

D. Roster, Attendance & Discipline Management
- Review centre-wise and department-wise duty rosters.
- Ensure adequate staffing across all shifts and operational hours.
- Monitor attendance, absenteeism, late coming, and leave patterns.
- Identify recurring manpower-related issues and initiate corrective measures.
- Maintain operational discipline across centres.
- Ensure adherence to working schedules and assigned responsibilities.
- Coordinate with Centre Managers and HR on employee performance and disciplinary matters.

E. Patient Flow & Service Delivery
- Monitor the complete patient journey across diagnostic centres.
- Ensure smooth coordination between registration, billing, sample collection, diagnostic procedures, reporting, and patient handover.
- Identify and eliminate unnecessary waiting and process delays.
- Monitor patient footfall and peak-hour workload.
- Ensure appropriate manpower deployment during high-volume periods.
- Monitor patient service levels and address operational complaints.
- Drive initiatives to improve patient experience and service efficiency.

F. TAT & Operational Performance Management
- Establish and monitor centre-wise and modality-wise Turnaround Time (TAT).
- Track delays and identify their root causes.
- Monitor reporting, sample processing, scanning, registration, and patient-service TAT as applicable.
- Ensure corrective action for recurring TAT deviations.
- Develop performance benchmarks for departments and modalities.




- Drive continuous improvement in operational turnaround time.

G. SOP & Process Standardization
- Develop, implement, and monitor operational SOPs across all centres.
- Ensure standardized processes across different locations.
- Conduct regular reviews of SOP adherence.
- Identify variations in processes between centres and implement corrective measures.
- Establish clear roles, responsibilities, escalation mechanisms, and accountability systems.
- Ensure operational processes are documented and consistently followed.
- Support management in developing and implementing new operational systems.

H. MIS, Dashboards & Operational Reviews

Establish a structured daily, weekly, and monthly operational MIS covering:

- Centre-wise patient volume
- Modality-wise patient volume
- Modality utilization
- TAT
- Revenue-related operational indicators, where applicable
- Manpower deployment
- Attendance and absenteeism
- Productivity
- Centre-wise operational performance
- Patient waiting time
- Equipment downtime
- Operational complaints
- Escalations
- Service delays
- Process deviations
- Corrective actions
- Prepare consolidated management dashboards.
- Highlight exceptions, trends, and operational risks to senior management.
- Conduct regular performance reviews with Centre Managers and departmental heads.
- Drive action plans based on MIS findings.

I. Centre Manager & Departmental Coordination
- Work closely with Centre Managers to ensure effective centre operations.
- Establish clear reporting and escalation mechanisms.
- Coordinate with modality in-charges, technicians, nurses, doctors, front-office teams, and support departments.
- Review centre-level challenges and provide operational solutions.
- Ensure issues are escalated appropriately and resolved within defined timelines.
- Conduct regular centre performance reviews.

J. Escalation & Problem Resolution
- Act as the central escalation point for major operational issues.
- Respond quickly to issues affecting patient flow, manpower, service delivery, or centre productivity.
- Identify root causes of recurring operational problems.
- Coordinate with relevant stakeholders to resolve issues.
- Track corrective actions through closure.
- Escalate critical matters to senior management with appropriate facts, analysis, and recommendations.

K. Productivity & Operational Efficiency
- Monitor employee and modality-wise productivity.
- Identify opportunities to improve utilization of manpower, equipment, and infrastructure.
- Reduce idle time and operational bottlenecks.
- Improve centre capacity utilization.
- Develop performance-monitoring mechanisms for key operational functions.
- Drive continuous improvement initiatives across centres.
- Support management in operational restructuring and expansion planning.

L. Quality & Compliance Coordination
- Ensure adherence to organizational SOPs and defined operational standards.
- Coordinate with quality, clinical, technical, and administrative teams to maintain service standards.
- Monitor process deviations and ensure corrective action.
- Support implementation of quality improvement initiatives.
- Ensure operational documentation and records are maintained appropriately.
- Coordinate with relevant departments for regulatory and accreditation-related operational requirements, where applicable.

M. Management Support & Strategic Operations
- Support senior management in operational planning and decision-making.
- Provide data-driven insights on centre performance and manpower requirements.
- Assist in operational restructuring and process redesign.
- Support current centre launch and operational readiness, where required.
- Participate in capacity planning and resource allocation.
- Identify opportunities for improving operational efficiency and scalability.
- Develop and implement operational control mechanisms across the network.

Specific numerical targets may be defined by management based on centre volume, modality mix, staffing levels, and business requirements.

- Mandatory Qualifications

- Graduate in any discipline from a recognized institution.
- MBA / PG Diploma in Hospital Administration, Healthcare Management, Operations Management, Healthcare Operations, or related field will be an added advantage.

5. Mandatory Experience The following experience is non-negotiable:

- 5–8 years of relevant experience in diagnostic centre operations, hospital operations, healthcare operations, or a similar healthcare environment.
- Proven experience managing operations across multiple diagnostic centres, hospitals, or healthcare facilities.
- Experience managing multi-centre operations rather than only a single centre.
- Hands-on experience with multiple diagnostic modalities.
- Experience managing large, multi-functional teams.
- Experience in workforce planning, roster management, manpower deployment, productivity monitoring, and performance management.
- Experience developing or implementing SOPs, MIS, operational controls, and escalation systems.

6. Mandatory Functional Knowledge The candidate must have a comprehensive understanding of diagnostic operations, including multiple modalities such as:

10. Location & Relocation

Primary Location: Varanasi, Uttar Pradesh

Location Preference:

- Candidates currently based in Varanasi will be preferred.
- Candidates currently working in other locations but willing to relocate to Varanasi may also be considered.
- Local candidates with the required depth of diagnostic and multi-centre operational experience are particularly encouraged to apply.

11. Compensation

CTC: ₹5–6 LPA The compensation range is within the organization's current approved budget and will be considered based on relevant experience, skills, and overall suitability.

Please note: The required diagnostic-centre and multi-centre operational experience is mandatory and will be a key selection criterion.
