– OPERATIONAL HEAD
Position: Operational Head
Department: Operations / Management
Reporting To: Managing Director / Executive Director / Director
Location: Perinthalmanna
Employment Type: Full-Time
1. JOB SUMMARY The Operational Head will be responsible for the overall operational management, coordination, monitoring, and performance of the organisation's centres and departments. The role will function at a senior management level, similar to a General Manager, ensuring that all operational, academic, admission, HR, financial, administrative, and customer-service activities are carried out efficiently and in accordance with management policies.
The Operational Head will work closely with the Managing Director, Executive Director, Directors, HR, Centre Heads, Academic Heads, Accounts, Admission, Sales, and other department heads to achieve organisational objectives and maintain operational standards across all centres.
2. KEY ROLES & RESPONSIBILITIES
A. Overall Operations Management
- Take overall responsibility for the day-to-day operations of all centres.
- Monitor the performance and functioning of each centre.
- Ensure smooth coordination between Head Office and individual centres.
- Establish and implement operational procedures, systems, and SOPs.
- Ensure that all departments follow management policies, procedures, and instructions.
- Identify operational gaps and implement corrective measures.
- Conduct regular operational reviews with Centre Heads and Department Heads.
- Ensure effective utilisation of manpower, infrastructure, resources, and facilities.
- Report major operational issues to senior management with suitable recommendations.
B. Centre Management & Monitoring
- Monitor the overall performance of each Centre Head.
- Review centre-wise admissions, revenue, expenses, staff performance, student strength, and operational issues.
- Conduct regular visits to centres for operational inspection and performance review.
- Ensure proper maintenance of classrooms, offices, reception areas, staff facilities, and other infrastructure.
- Monitor discipline, punctuality, attendance, and professional conduct of staff.
- Ensure proper implementation of working hours, leave procedures, attendance systems, and other operational policies.
- Ensure that centre-level issues are resolved within the defined authority and escalation process.
C. Admissions & Business Performance
- Monitor centre-wise admission targets and achievements.
- Review daily, weekly, and monthly admission performance.
- Monitor counsellor, BDE, BDM, and sales team performance.
- Analyse admission conversion ratios, enquiries, follow-ups, walk-ins, cancellations, and drop-outs.
- Ensure proper follow-up systems are maintained for prospective students.
- Review reasons for student drop-outs and recommend corrective measures.
- Coordinate with the marketing and admission teams to improve lead conversion and student enrolment.
- Ensure admission documentation and student records are properly maintained.
- Monitor centre-wise revenue and business targets.
D. Academic Operations
- Coordinate with the Academic Head and Centre Heads for smooth academic operations.
- Monitor faculty availability, class schedules, faculty attendance, and academic discipline.
- Ensure academic schedules and training programmes are implemented properly.
- Monitor student attendance and academic engagement.
- Review student feedback and complaints relating to academic services.
- Coordinate with Academic Heads to address faculty-related and academic operational issues.
- Ensure induction, orientation, grooming, ground rules, and other student procedures are properly implemented.
E. Financial & Cost Control
- Monitor centre-wise operational expenses.
- Ensure expenses are incurred within approved budgets.
- Review and control unnecessary operational expenditure.
- Coordinate with Accounts and Finance for budget planning and financial reporting.
- Monitor revenue, collections, outstanding payments, refunds, and other financial activities related to operations.
- Review centre-wise profitability and cost variations.
- Ensure proper approval procedures are followed before major expenditures.
- Identify opportunities for cost reduction without affecting operational quality.
- Review monthly financial and operational reports with management.
F. Administration & Compliance
- Ensure proper administrative functioning of all centres.
- Monitor office systems, documentation, records, registers, and statutory/operational requirements.
- Ensure proper maintenance of student and employee records.
- Monitor security, CCTV, access control, safety, housekeeping, and facility management.
- Ensure that management instructions are properly communicated and implemented.
- Coordinate with external vendors, service providers, and contractors when required.
- Ensure compliance with applicable organisational policies and legal requirements.
G. Student & Parent Relations
- Monitor student and parent complaints and ensure timely resolution.
- Handle escalated student/parent issues that cannot be resolved at centre level.
- Ensure professional and consistent communication with students and parents.
- Monitor student satisfaction and service quality.
- Analyse recurring complaints and implement preventive measures.
- Ensure proper documentation of complaints, resolutions, refunds, transfers, and drop-outs.
H. Performance Monitoring & Reporting
- Prepare and review daily, weekly, and monthly operational reports.
- Monitor KPIs of Centre Heads and key departments.
- Review admission targets, revenue, expenses, staff performance, student strength, attendance, and drop-outs.
- Conduct monthly performance review meetings.
- Submit operational reports and recommendations to senior management.
- Maintain proper records of management decisions and action points.
- Follow up on pending tasks and ensure timely completion.
I. Leadership & Team Coordination
- Provide leadership and direction to Centre Heads and operational teams.
- Maintain effective communication between management and centres.
- Coordinate with , Academic, Admission, Marketing, and Administration departments.
- Conduct regular management review meetings.
- Delegate responsibilities appropriately and monitor completion.
- Build accountability among Centre Heads and Department Heads.
- Promote teamwork, discipline, professionalism, and service quality.
5. QUALIFICATION
- Bachelor's or Master's degree in Management, Business Administration, Operations, HR, Education, or a related field.
- MBA/PG qualification in Management or Operations will be an advantage.
6. EXPERIENCE
- Minimum 8–12+ years of relevant professional experience, preferably in operations, education, training, hospitality, aviation, service industries, or multi-centre organisations.
- Experience in handling multiple branches/centres will be preferred.
- Previous experience in a GM / Operations Head / Regional Head / Centre Head / Senior Management position will be an advantage.

8. CORE RESPONSIBILITY The Operational Head is responsible for ensuring that the organisation's centres operate efficiently, profitably, professionally, and in accordance with the policies, systems, targets, and directions established by senior management. Person who has Dubai Exposure will be added advantage
Pay: ₹50,000.00 - ₹65,000.00 per month
