Job Summary
Mehta Naviwala and Company is Pune-based professional advisory firm handling document-intensive and process-intensive work. A large part of our day involves documents, records and repetitive back-office processes.
We are hiring a practical, hands-on IT and AI Automation Executive who can do two things: keep our day-to-day office technology running smoothly, and actively use contemporary AI tools and simple automation to remove repetitive manual work.
Key ResponsibilitiesAI and automation — the core of this role l Identify small and medium repetitive office tasks and build simple, reliable solutions for them, rather than relying entirely on outside software vendors.
l Build and configure practical tools such as automated Excel and Google Sheet reports, data-entry and data-processing utilities, document-generation tools, PDF extraction and processing utilities, automated email alerts and reminders, simple dashboards, task trackers, data-reconciliation checks, internal request forms and file-organisation workflows.
l Use LLMs (ChatGPT, Claude, Gemini and Grok) effectively for research, drafting, summarisation, document analysis and data extraction, and know which tool suits which task.
l Write clear,
reusable prompts and short written instructions so other staff can repeat a process without your help each time.
l Work across common document types — PDF, Word, Excel, CSV and images — using AI-assisted workflows.
l Understand the limits of LLMs, including hallucination, confidentiality risk and the need for human verification, and design workflows that account for them.
l Continuously test, compare and recommend new AI and automation tools, with a clear reason and cost for each recommendation.
l Document the tools, scripts, dependencies and workflows you build so the firm is not dependent on any single person. Business-critical automations, accounts, repositories and integrations must be maintained using firm-controlled systems and credentials.
2. IT support and office technology
- Provide day-to-day IT support for desktops, laptops, printers, scanners, networking and other office equipment.
- Install, configure and maintain Windows systems, business software and office productivity tools.
- Troubleshoot hardware, software, network, email and connectivity issues.
- Manage employee IT onboarding and offboarding, including user accounts, email, application access, shared-drive permissions, MFA and device setup.
- Coordinate with external vendors for repairs, software,
networking and infrastructure.
- Maintain records of IT assets, software licences and equipment.
- Support the local network, Wi-Fi, routers, shared drives and printers.
- Run or coordinate routine backups, and periodically verify that critical data can actually be restored — not merely that a backup exists.
- Help staff with Microsoft Office, Google Workspace, PDF tools and cloud storage.
- Apply basic cybersecurity practices, including system updates, password and access policies, MFA and sensible controls.
Qualification
- 2 to 3 years of relevant experience in IT support, automation, software or scripting, or a mixed technology role.
- Graduate in Computer Science, IT, Engineering, BCA, MCA or equivalent. Strong practical skills will be considered over formal qualifications.
Skills
1. Comfortable with Windows administration and everyday IT troubleshooting.
2. Advanced Excel or Google Sheets, including formulas and ideally Google Sheets automation or macros/VBA.
3. Working knowledge of Python, or another suitable scripting language, with the ability and willingness to use Python where required.
4. Active, practical use of at least two major LLM platforms (ChatGPT, Claude, Gemini or Grok) in real tasks.
5. Basic understanding of JSON and how data moves between applications.
6. Ability to work independently, learn a new tool quickly, and finish small projects without close supervision.
