Position : HVAC Engineer, Operations and Maintenance

Department : Infrastructure Campus Operations & Estate Development

Experience : Minimum of 12 plus years of relevant experience in HVAC operations and maintenance, preferably in large institutional, university, commercial, hospitality, residential, or integrated campus environments.

Qualification : Diploma or B.Tech in Mechanical Engineering

Additional certification in HVAC, refrigeration, energy management, or facilities management will be an advantage.

Role Overview: The HVAC Engineer will be responsible for the operation, maintenance, performance monitoring, and reliable functioning of HVAC systems across the campus . The role will ensure comfortable indoor temperatures, uninterrupted chilled water supply, timely preventive and corrective maintenance, effective vendor management, and minimum equipment downtime.

The position will work closely with internal technical teams, external vendors, contractors, and campus stakeholders to ensure that all HVAC assets operate safely, efficiently, and at their designed capacity.

Key Responsibilities

1. HVAC Operations and Performance
2. Ensure comfortable indoor temperatures of 23°C to 25°C across designated campus facilities, based on occupancy, weather conditions, and operational requirements.
3. Monitor and manage the operation of chillers, AHUs, FCUs, ventilation systems, pumps, cooling towers, ventilation equipment, and associated HVAC systems .
4. Ensure reliable chilled water supply to support the effective operation of air conditioning systems installed across workspaces, academic buildings, administrative facilities, residences, and other designated areas.
5. Monitor HVAC equipment performance and identify deviations, abnormal operating conditions, and potential equipment failures.
6. Ensure all fixed HVAC systems, excluding student hostels where separately assigned, operate at their designed capacity and are maintained as per recommended standards.
7. Monitor energy consumption and equipment performance to identify opportunities for improved operational efficiency.

8. Preventive and Corrective Maintenance
9. Develop, implement, and monitor preventive, predictive, corrective, and periodic maintenance schedules for HVAC systems.
10. Ensure timely servicing, inspection, cleaning, calibration,



and replacement of components to maintain equipment reliability.
11. Conduct preventive maintenance of FCUs and AHUs in Student Hostels SH 11, SH 12, and SH 14 .
12. Attend and coordinate the resolution of HVAC breakdowns and technical failures within defined SLA timelines.
13. Maintain adequate stock of critical HVAC spare parts, consumables, and essential maintenance materials to minimize equipment downtime.
14. Analyse recurring breakdowns and recommend appropriate corrective measures to prevent repeated failures.
15. Ensure proper maintenance records are maintained for all major HVAC equipment and systems.

16. Chiller Plant Management
17. Maintain daily operational logs for chiller plants, including operating parameters, temperatures, pressures, running hours, alarms, and other relevant performance indicators.
18. Monitor chiller plant efficiency and identify abnormal trends requiring servicing or corrective action.
19. Coordinate scheduled servicing and major maintenance activities for chillers, pumps, cooling towers, and associated equipment.
20. Ensure timely escalation of critical equipment issues and coordinate with specialized service agencies wherever required.

21. Vendor and AMC Management
22. Coordinate with HVAC vendors and service agencies for Annual Maintenance Contracts, breakdown support, equipment servicing, installation, testing, and commissioning .
23. Monitor vendor performance against agreed SLAs, maintenance schedules, and contractual requirements.
24. Verify service reports, work completion, site measurements, and equipment performance before recommending vendor payments.
25. Coordinate with vendors during installation and commissioning of new HVAC equipment and ensure compliance with approved specifications.
26. Maintain proper documentation related to AMC agreements, service reports, breakdowns, warranties, and equipment history.

27. Complaint and SLA Management

Monitor HVAC related complaints received from occupants, faculty, staff, and other campus users.
29. Ensure complaints are assigned, attended to, and resolved within defined SLA timelines .
30. Coordinate with technicians and vendors for timely resolution of recurring or technically complex complaints.
31. Analyse complaint trends and recommend improvements to reduce recurring HVAC issues.

32. Hostel Technical Services
33. Initially oversee technical services in designated student hostels, including HVAC, electrical, plumbing, civil, and carpentry-related requirements , in coordination with the respective teams.
34. Subsequently focus primarily on HVAC Operations and Maintenance for student hostels as responsibilities are transitioned to the relevant technical teams.
35. Ensure preventive and corrective maintenance of HVAC systems in designated hostels and maintain service records.
36. Ensure timely availability of materials, tools, spare parts, and manpower required for hostel HVAC maintenance.
37. Documentation, BOQ and Commercial Coordination
38. Prepare and review BOQs, material indents, technical specifications, estimates, and site measurements related to HVAC works.
39. Process and verify vendor invoices based on completed work, service reports, approved BOQs, and actual site measurements.
40. Maintain accurate records of equipment inventories, maintenance history, breakdowns, spare parts, AMC activities, and service schedules.
41. Support budgeting and procurement activities for HVAC maintenance, replacement, and improvement projects.

42. Team Management and Training
43. Supervise and coordinate HVAC technicians, operators, and ground-level technical staff.
44. Train ground staff on the safe and proper operation, basic troubleshooting, and routine maintenance of HVAC equipment .
45. Verify staff attendance, work allocation, productivity, and performance.
46. Ensure technicians follow approved safety procedures, maintenance practices, and operational protocols.
47. Conduct regular toolbox talks and technical briefings wherever required.

Preferred Experience: E xperience in large universities, institutional campuses, hospitals, hotels, commercial complexes, residential facilities, or other large-scale facilities with centralized HVAC and chilled water systems will be preferred.
