Role Summary
We are looking for an HR qualified to manage the core employee lifecycle in our IT infrastructure business: hiring, attendance, performance appraisals, and disciplinary matters. The role supports a mix of office-based staff and field or client-site engineers, so it requires strong coordination and a practical understanding of technical hiring.
Key Responsibilities
1. Recruitment and Onboarding
- Partner with department heads to understand manpower requirements and prepare job descriptions for roles such as CCTV technicians, L1,L2& L3 Dektop engineers, Purchasing, Sales etc.
- Source candidates through job portals, LinkedIn, referrals.
- Screen resumes, conduct initial HR interviews, and coordinate technical rounds with hiring managers.
- Manage offers, salary negotiations, background verification, and documentation.
- Run onboarding and induction so new hires are set up with IDs, system access, and policy briefings from day one.
- Track hiring metrics such as time-to-fill, cost-per-hire, offer-acceptance rate, and source effectiveness.
2. Attendance and Leave Management
- Maintain daily attendance records using ERP systems.
- Track leaves, comp-offs, on-call and shift allowances, and overtime, and validate them for payroll input.
- Follow up on irregular attendance, late marking, and unauthorized absences.
- Coordinate with team leads to keep attendance accurate for client-site and remote engineers.
- Prepare monthly attendance and leave reports for payroll and management.
3. Performance Appraisals
- Coordinate the annual and mid-year appraisal cycles, including goal setting, self-assessments, and manager reviews.
- Support managers with KRAs/KPIs, rating calibration,
and feedback conversations.
- Track probation and confirmation reviews on time.
- Consolidate appraisal data and support increment, promotion, and PIP (performance improvement plan) decisions.
- Maintain performance records and identify training needs from review outcomes.
4. Disciplinary and Employee Relations
- Handle employee grievances and misconduct cases fairly, confidentially, and in line with company policy.
- Issue show-cause notices, warning letters, and other disciplinary communication.
- Conduct or support fact-finding and domestic inquiries, and document proceedings thoroughly.
- Advise managers on policy application and proper disciplinary procedure.
- Help enforce IT and security-related conduct policies (data confidentiality, acceptable use, client-site behavior).
- Support exit formalities, including resignations, exit interviews, and full and final settlement coordination.
5. HR Operations and Compliance
- Maintain accurate employee records and data.
- Ensure compliance with applicable labour laws and statutory requirements (e.g., PF, ESI, gratuity, POSH).
- Draft and update HR policies, letters, and templates.
- Support employee engagement, wellness, and retention initiatives.
Required Qualifications
- MBA/PGDM in HR or a related field (or a Bachelor's degree with relevant experience).
- 2-5 years of HR generalist experience covering recruitment, attendance, performance management, and employee relations.
- Working knowledge of labour laws and disciplinary procedures.
- Proficiency in HRMS tools, MS Excel, and applicant tracking systems.
