Role Overview
We are looking for an HR Operations Associate to support day to day HR operational activities across the employee lifecycle for Global and U.S. employee populations. This role focuses on executing HR processes, managing employee data, handling employee queries, supporting onboarding and offboarding, and ensuring accurate updates across HR systems while adhering to policies, SLAs, and compliance requirements.
The HR Operations Associate works closely with HRBPs, Payroll, Benefits, HRIS, and Shared Services teams to deliver efficient and consistent HR support.
Key Responsibilities
HR Case Management & Employee Support
- Handle Tier 1 and Tier 2 HR queries via the case management system (e.g., ServiceNow)
- Respond to employee inquiries related to HR policies, benefits, payroll timelines, leave, and systems access
- Update cases with clear resolutions, status updates, and next steps
- Escalate complex or unresolved issues to senior HR or COE teams as per defined guidelines
Employee Data Management & HR Systems
- Process employee master data changes including:
o Personal details, addresses, dependents, bank and tax information
- Update and maintain employee records in HR systems (e.g., PeopleSoft/Poornata, UKG, iCIMS)
- Upload and manage digital personnel files in document management systems
- Support HR system access requests, password resets, and basic troubleshooting
Onboarding & Offboarding Support
- Support onboarding activities for new hires:
o Verify required documentation o Enter and validate new hire data in HR systems o Coordinate notifications to Payroll, Advantages, and IT
- Support offboarding processes:
o Update employee records for terminations o Assist with exit documentation and system access changes o Coordinate final payroll and benefits notifications
Payroll &
Perks Operations Support
- Support pre payroll inputs by validating employee data and effective dates
- Assist employees with basic payroll and pay statement related queries
- Educate employees on benefits enrollment, changes, and available resources
- Route payroll discrepancies or benefits escalations to appropriate teams
Reporting & Documentation
- Generate and share standard HR operational reports as requested
- Ensure secure handling of employee data and reports
- Support audits by providing requested documentation and data extracts
- Follow SOPs, SLAs, and compliance standards
Knowledge Base & Process Support
- Follow approved SOPs and response templates
- Identify knowledge base gaps or outdated content and flag to leads
- Participate in training and continuous improvement initiatives
Required Skills & Capabilities
Functional & Technical Skills
- Basic understanding of HR operations and employee lifecycle processes
- Experience working with HRIS, case management, and document management systems
- Good working knowledge of U.S. HR and payroll fundamentals
- Proficiency in MS Excel and standard reporting tools
Professional Skills
- Strong attention to detail and data accuracy
- Excellent communication and customer service mindset
- Ability to manage multiple tasks while meeting SLAs
- Willingness to follow defined processes and escalation paths
Qualifications & Experience
- Bachelor's degree in human resources, Business Administration, or related field
- 2–4 years of experience in HR Operations, Shared Services, or HR Support roles
- Experience supporting Global and/or U.S. employee populations preferred
Nice to Have
- Experience with ServiceNow, PeopleSoft (Poornata), UKG, or iCIMS
- Exposure to onboarding, payroll, or benefits administration
- Experience in a shared services or global HR operations environment
