We operate delivery centres in the United States, India, Kenya, Cambodia and Laos. Our Dehradun centre has scaled to 165+ employees and is still growing.
About the Role
We are looking for an HR Operations professional with strong hands-on payroll and HRMS experience to own the operational backbone of our Dehradun HR function. You will run monthly payroll end to end, administer our HRMS (greytHR), keep statutory compliance clean, and make sure employee data, attendance and records are accurate every single month. This is a detail-driven, deadline-bound role where accuracy is not negotiable — payroll errors are visible to everyone.
Key Responsibilities
Payroll Processing
- Run monthly payroll end to end for 165+ employees — inputs, attendance and leave reconciliation, arrears, deductions, new joiners, exits and full & final settlements
- Validate payroll inputs against the employee master, attendance records and approved salary structures before processing
- Prepare and reconcile the salary register, bank transfer file and payslips, and coordinate with Finance for disbursement
- Compute and reconcile statutory deductions — PF, ESI, TDS and professional tax — and ensure correct application of applicable wage ceilings
- Manage the income-tax declaration and proof-submission cycle, and coordinate Form 16 issuance
- Resolve employee payroll queries accurately and within committed timelines
HRMS Administration (greytHR or equivalent)
- Own day-to-day administration of the HRMS — employee master data, salary structures, leave policies, attendance rules, workflows and user access
- Maintain complete and accurate employee records in the system, with zero tolerance for data mismatch between the HRMS, the employee master and payroll
- Configure and maintain modules covering onboarding, attendance, leave, payroll, employee self-service and exit
- Drive employee adoption of self-service features and resolve system issues with the HRMS vendor
- Generate system reports and dashboards for HR and leadership
Statutory Compliance
- Ensure timely monthly and annual filings and payments for PF, ESI, professional tax and labour welfare fund
- Maintain statutory registers and records under the Shops and Establishments Act, Payment of Wages Act, Payment of Bonus Act, Payment of Gratuity Act, Minimum Wages Act and allied Labour Codes
- Manage PF and ESI registrations, UAN generation, KYC seeding, nominations, transfers and withdrawal support for employees
- Support statutory, internal and client audits with accurate documentation and records
- Track changes in central and state labour regulations and flag their impact on payroll and policy
Attendance, Leave and Employee Lifecycle
- Administer the attendance and leave management system, including shift rosters, biometric or system integration and exception handling
- Maintain the leave register — accrual, availment, encashment and carry-forward — in line with policy
- Execute employee lifecycle transactions — onboarding documentation, confirmations, transfers, promotions, salary revisions, exits and clearance
- Issue HR letters and documents — offer, appointment, confirmation, increment, relieving, experience and salary certificates
MIS, Reporting and Process
- Publish accurate monthly HR MIS — headcount, attrition, payroll cost, attendance and compliance status
- Maintain the employee master as the single source of truth, and reconcile it periodically against payroll,
HRMS and bank records
- Document and continuously improve HR operations SOPs, checklists and payroll process controls
- Support HR projects, policy rollouts and system implementations
Required Qualifications
- 3+ years of hands-on HR operations experience with independent ownership of monthly payroll processing
- Practical working experience on greytHR, or an equivalent HRMS such as Darwinbox, Keka, Zoho People, SAP SuccessFactors, Zing HR or Kredily — configuration and administration, not just data entry
- Strong working knowledge of Indian payroll and statutory compliance — PF, ESI, TDS, professional tax, gratuity, bonus and minimum wages
- Advanced MS Excel skills — VLOOKUP/XLOOKUP, pivot tables, conditional formatting and large-data reconciliation
- Demonstrated accuracy under deadline pressure and the discipline to reconcile before submitting
- Strong confidentiality and integrity in handling salary and personal data
- Good written and verbal communication in English and Hindi
- Based in Dehradun or willing to relocate — this is an onsite role
Preferred Qualifications
- Experience in a BPO, KPO, ITES or technology services organisation with a large workforce
- Experience implementing or migrating to a current HRMS, including data migration and UAT
- Exposure to Uttarakhand-specific labour regulations and minimum wage notifications
- Experience handling statutory or client compliance audits independently
- MBA/PGDM in Human Resources
