HR Executive Talent Acquisition & HR Operations

1. Job Summary
We are looking for a proactive and result-oriented HR Executive to manage end-to-end recruitment, talent acquisition, employee onboarding, pre-boarding, HR documentation, and exit formalities.
The candidate will be responsible for sourcing and screening suitable candidates, coordinating interviews, maintaining recruitment records in KEKA, ensuring smooth joining formalities, and supporting day-to-day HR operations.
2. Key Responsibilities
A. Talent Acquisition & Recruitment
Manage the end-to-end recruitment process from candidate sourcing to joining.
Understand manpower requirements and coordinate with HR manager for open positions.
Search and source candidates through Naukri/Resdex, job portals, LinkedIn, employee references, databases, and other recruitment channels.
Screen resumes based on job requirements, experience, qualifications, location, and role suitability.
Conduct initial HR screening calls with shortlisted candidates.
Explain the job profile, responsibilities, location, working hours, salary structure, and other relevant requirements to candidates.
Maintain an active candidate pipeline for current and upcoming vacancies.
Follow up with candidates regularly throughout the recruitment process.
Ensure timely closure of assigned vacancies.
B. Interview Coordination
Coordinate and schedule interviews between candidates and HR Manager and CEO.
Align interview slots based on candidate and interviewer availability.
Share interview details and candidate profiles with HR Manager.
Maintain proper records of scheduled, completed, shortlisted, rejected, and pending interviews.
Take regular feedback from interviewers and update candidates accordingly.
Ensure minimum delays between different stages of the recruitment process.
Follow up with candidates who miss or postpone interviews and reschedule wherever required.

Candidate Calling & Follow-Ups
Make regular recruitment calls to prospective candidates.
Follow up with shortlisted candidates regarding interview schedules, documentation, salary discussions, and joining dates.
Maintain professional communication with candidates throughout the hiring process.
Track candidates who are under offer, serving notice period, or awaiting joining.
Reduce candidate drop-offs through timely communication and engagement.
D. Pre-Boarding
Coordinate with selected candidates before their date of joining.
Collect and verify required pre-joining documents.
Share joining instructions, reporting details, location, timings, and other relevant information.
Maintain regular communication with candidates during the notice period.
Confirm joining status one day prior to the joining date.
Coordinate with the concerned department/clinic to ensure readiness for the new employee.
E. Onboarding & Joining Formalities
Coordinate complete employee onboarding and joining formalities.
Ensure all required documents and employee information are collected.
Create/update employee records in KEKA.
Ensure timely completion of joining documentation and HR formalities.
Coordinate with relevant departments for ID cards, system access, email IDs, uniforms, assets, and other requirements wherever applicable.
Ensure new employees are properly introduced to the organization and reporting structure.
Coordinate with reporting managers regarding the employee's joining and induction.
F. KEKA HRMS Management
Maintain accurate employee and recruitment-related information in KEKA SOFTWARE .
Update candidate/employee status at every relevant stage.
Complete joining and onboarding activities in KEKA.
Initiate and track required HR processes and notifications through KEKA.
Maintain employee records, documentation, attendance-related information, and separation records as assigned.
Ensure timely and accurate HRMS data updates.
G. Exit & Separation Formalities
Coordinate employee resignation and separation processes.
Ensure employees complete required exit formalities and documentation.
Coordinate with reporting managers and concerned departments for clearance and handover.
Initiate and update separation formalities in KEKA.
Coordinate asset handover, department clearance, and other exit requirements.
Maintain proper records of resigned, relieved, and separated employees.
Coordinate with HR/Finance/concerned departments regarding Full & Final (F&F;) formalities as per company policy.
Conduct or coordinate exit interviews and maintain relevant records.

Ability to manage multiple vacancies simultaneously.

Good working knowledge of KEKA or other HRMS platforms.
Working knowledge of Naukri/Resdex, LinkedIn, and other recruitment platforms.
Good MS Excel/Google Sheets skills.
Strong documentation and record-keeping skills.
Ability to work under deadlines and achieve recruitment targets.
Proactive approach with strong ownership and follow-through.
Professional and positive attitude.
5. Qualification & Experience
Education: Graduate in HR, Business Administration, Management, or a related field.
Experience: 03 years of experience in HR recruitment/talent acquisition or HR operations.
Candidates with experience in healthcare, aesthetics, wellness, clinics, hospitality, retail, sales, or other high-volume recruitment environments will be preferred
