Role Summary
Own the end-to-end administration of TruKKer's corporate offices globally from the Bengaluru COE. The role sits at the intersection of facilities, statutory compliance, vendor and procurement management, and employee documentation, with a strong reporting and analytics layer on top. You will not just execute renewals and purchases; you will track, forecast, and report on every admin cost and compliance obligation across the group.
Key Responsibilities
1. Statutory & Establishment Compliance
- Manage Shops & Establishment registrations, renewals, amendments and display requirements for all India locations, and coordinate equivalent local registrations and trade licences in overseas markets.
- Maintain a live compliance calendar covering registration expiries, labour law filings, inspections, and statutory registers.
- Act as the single point of contact for consultants, local PROs and authorities for inspections, notices and audits.
- Keep an audit-ready document repository for every entity and office.
2. Employee Contracts & Documentation (Global)
- Own the global employment contract lifecycle: issuance, signature tracking, renewals, amendments, addendums and archival, across all entities and contract types (full-time, consultant, fixed-term).
- Maintain a master contract tracker showing entity, tenure, expiry, renewal status and pending signatures, with proactive alerts before expiry.
- Ensure contract templates stay aligned with local labour law in each market and are version-controlled.
3. Onboarding Support
- Prepare and dispatch onboarding kits for all new joiners: welcome pack, ID cards, access cards, laptop and asset allocation, SIM/telecom setup, seating and workstation readiness.
- Coordinate with IT, Payroll and hiring managers so every joiner is fully set up on Day 1, across locations.
- Maintain current joiner documentation completeness and close gaps before payroll cut-off.
4. Facilities, Leases & Renewals
- Manage the full lease portfolio: rental agreements, renewals, rent escalations, security deposits, exits and dilapidation, for every office.
- Own renewal cycles for insurances (group medical, group life, office/asset, public liability, fidelity), telecom and internet contracts, AMCs, subscriptions and utilities.
- Run a rolling 90-day renewal pipeline so nothing lapses or auto-renews unexamined.
- Oversee day-to-day office upkeep, housekeeping, security, pantry, travel desk and workplace safety.
5. Vendor Management & Procurement
- Identify, onboard, evaluate and rationalise vendors across geographies; maintain an approved vendor master.
- Run RFQs and comparatives, negotiate rates and contract terms, and drive cost savings without compromising service.
- Manage the procurement cycle: requisition, approval, PO, GRN, invoice verification and payment follow-up with Finance.
- Track vendor SLAs and conduct periodic performance reviews.
6. Data, Reporting & Analysis
- Build and maintain admin MIS: cost per office, cost per employee, spend by category, lease and insurance exposure,
renewal aging, vendor spend concentration.
- Prepare monthly and quarterly admin dashboards for leadership with variance analysis against budget and clear recommendations.
- Support annual admin budgeting and forecasting across all locations.
- Automate recurring trackers and reports wherever possible.
Must-Have Requirements
- 5 to 8 years in administration, facilities or HR operations, ideally with multi-location or multi-country exposure.
- Working knowledge of Shops & Establishment Act and related Indian labour compliances; willingness and ability to learn GCC and EMEA equivalents.
- Strong hands-on Excel: pivots, lookups, dashboards, tracker design. This is non-negotiable given the reporting load.
- Proven vendor negotiation and procurement experience with a demonstrable savings record.
- High ownership and follow-through. The role is judged on nothing slipping.
- Clear written English for global stakeholder communication across time zones.
- Graduate; MBA/PGDM in HR or Operations preferred.
Good to Have
- Experience in a shared services or COE model supporting offshore offices.
- Exposure to GCC markets (UAE/KSA) and PRO-driven processes.
- Familiarity with HRMS, procurement or ticketing tools; Power BI or similar.
Success Measures (First 12 Months)
- Zero compliance lapses or penalty notices across all entities.
- 100% contract and registration renewals closed before expiry.
- Single consolidated admin cost dashboard live and reviewed monthly.
- Measurable reduction in per-office admin spend through vendor rationalisation.
- Day-1 readiness achieved for every new joiner across locations.
