Position: HR Admin Executive
Department: Human Resources & Administration
Reporting To: HR Manager / HR Head / Management
Qualification: Bachelor's degree in Human Resources, Business Administration, or a related field; MBA/PGDM in HR preferred
Experience: 2–3 years of experience in HR operations, HR administration, payroll coordination, employee relations, documentation, or a similar role
Role
Purpose:
The HR Admin Executive is responsible for managing and supporting day-to-day HR and administrative processes, including payroll coordination, attendance and leave management, employee benefits, HR policy implementation, employee documentation, grievance handling, and compliance-related activities. The role involves maintaining accurate employee records, ensuring timely completion of HR processes, supporting positive employee relations, and ensuring adherence to company policies, procedures, and standards.
Key
Responsibilities:
1. HR Operations & Administration
Manage day-to-day HR administrative activities, coordinate employee-related processes, maintain HR records, and provide timely HR support to employees and management.
2. Employee Onboarding & Joining Formalities
Coordinate employee joining and onboarding activities, collect required documents, complete joining formalities, prepare employee files, and ensure all required documentation is completed within the defined timeline.
3. Attendance & Leave Management
Maintain and monitor employee attendance and leave records, verify attendance data, coordinate corrections, and provide accurate attendance and leave information for payroll processing.
4. Payroll Coordination
Coordinate monthly payroll activities by providing accurate attendance, leave, employee changes, deductions, and other required payroll inputs to the concerned team or management.
5. Employee Benefits Administration
Support the administration of employee benefits as per company policy, maintain relevant records,
and address employee queries related to benefits and related HR processes.
6. HR Policy Implementation
Assist in implementing HR policies, rules, regulations, procedures, and company guidelines. Communicate applicable policies to employees and ensure proper documentation and acknowledgement where required.
7. Employee Grievance Handling
Receive and address employee queries, concerns, and grievances professionally and confidentially. Coordinate with the HR Manager or management for appropriate resolution and maintain records of grievances and actions taken.
8. Employee Documentation & Records
Maintain complete and updated employee personal files, HR forms, joining documents, attendance records, leave records, salary-related documents, and other HR documentation as per company requirements.
9. HR Compliance Support
Support HR compliance activities by maintaining required records, documentation, registers, and reports. Ensure HR processes are carried out according to company standards and applicable requirements.
10. Employee Relations
Maintain professional and positive relationships with employees, support effective communication between employees and management, and assist in creating a healthy and disciplined workplace setting.
11. HR MIS & Reporting
Prepare and maintain HR reports and MIS related to employee headcount, attendance, leave, payroll inputs, joining, exits, employee records, and other HR activities as required by management.
12. Employee Exit & Full & Final Support
Coordinate employee exit formalities, collect required documents and assets,
update employee records, coordinate clearance processes, and support full and final settlement activities.
13. HR Process & SOP Support
Assist in implementing and maintaining HR SOPs, processes, checklists, forms, and standard procedures to ensure consistency and efficiency in HR operations.
14. Confidentiality & Information Management
Maintain strict confidentiality of employee personal information, salary details, HR records, grievances, and other sensitive organizational information.
15. Reporting & Communication
Provide timely updates to the HR Manager or management regarding employee concerns, attendance issues, payroll inputs, documentation gaps, policy-related matters, compliance requirements, and other HR activities.
16. Discipline & Policy Compliance
Monitor adherence to company policies, attendance requirements, workplace rules, code of conduct, and HR procedures, and report violations or concerns to the concerned authority.
Skills &
Competencies:
- Good knowledge of HR operations and administration
- Basic to good knowledge of payroll and salary processing

- Understanding of HR policies, procedures, and SOPs
- Good knowledge of MS Excel and MS Office

Pay: ₹22,000.00 - ₹25,000.00 per month
