Role purpose

Provide end-to-end leadership for housekeeping operations across the university campus, ensuring consistently clean, hygienic, safe and presentation-ready facilities. The role converts institutional standards into executable plans, governs service partners, controls resources and resolves systemic service gaps while maintaining a professional campus experience for students, faculty, staff, residents and visitors.

Role outcome A reliably clean, safe and well-presented campus with measurable service standards, disciplined contractor performance, controlled operating costs, timely issue resolution and clear management visibility through accurate reporting.

Scope of responsibility

· Own housekeeping service delivery across assigned academic blocks, administrative offices, hostels, residences, classrooms, washrooms, dining-adjacent common areas, event venues, roadsides/common spaces and other designated campus zones.

· Lead the deployed in-house and/or outsourced housekeeping structure, including supervisors and frontline associates, according to the approved manpower plan.

· Govern routine, periodic and specialised cleaning, waste segregation at source, washroom hygiene, pest-control coordination, façade/high-level cleaning coordination and event readiness within approved scope.

· Manage operational budgets, consumables, chemicals, machines, uniforms, tools, service contracts and approved service-level commitments.

Decision authority and escalation

· Approve daily and shift-wise deployment within sanctioned manpower and scope; reallocate resources to address priority areas and events.

· Stop an unsafe cleaning practice, isolate an affected area where necessary and initiate immediate corrective action.

· Validate service records, attendance, consumption and performance evidence before recommending invoice certification to the authorised approver.

· Escalate chronic SLA failure, manpower shortfall, suspected fraud, safety breach, major complaint or unbudgeted requirement to the Operations Manager.

Important role clarification

This role is accountable for housekeeping delivery and operational hygiene. Technical maintenance, clinical services, security operations and disciplinary decisions outside the housekeeping team remain with the respective authorised functions. Any serious safety, infection, chemical, infrastructure or conduct incident must be contained where safe and escalated immediately through the approved campus protocol.

1 Operating strategy & planning

• Translate campus requirements into annual, monthly and daily housekeeping plans, zoning, frequencies, staffing norms, shift rosters and inspection calendars.

• Plan for academic cycles, admissions, examinations, convocations, conferences, VIP visits, hostel turnover, monsoon and other seasonal requirements.

2 Service delivery

• Ensure all assigned spaces are cleaned to defined frequency, method and presentation standards without avoidable disruption to academic or residential activity.

• Establish opening, closing, shift-handover and event-readiness checklists; ensure prompt rectification of deficiencies.

3 Quality assurance

• Implement layered inspections by supervisor, AM and Manager; analyse scores, repeat defects and trend data.

• Lead root-cause analysis and corrective/preventive action for recurring complaints, poor audit results and service breakdowns.

4 Vendor governance

• Manage contracts operationally against scope, SLA, manpower, attendance, statutory records, training and deliverables.

• Conduct structured performance reviews; document deviations, recovery plans, deductions/recommendations and closure evidence.

5 People leadership

• Set expectations, coach supervisors, conduct toolbox talks and ensure trained coverage for machines, chemicals, PPE and emergency response.

• Drive attendance discipline, grooming, respectful conduct, productivity, recognition and fair escalation of performance concerns.

6 Budget & inventory

• Prepare operating estimates; monitor consumption, stock levels, equipment utilisation, repair needs and cost variance.

• Maintain controls for receipt, storage, issue, dilution and reconciliation; prevent stock-outs, overuse, pilferage and unsafe storage.

7 Safety, hygiene & compliance

• Ensure approved chemicals, labels, dilution, SDS availability, PPE, warning signage and safe machine practices.

• Coordinate waste segregation and authorised disposal interfaces; immediately escalate hazardous, bio-medical, infestation or public-health concerns to the designated function.

8 Stakeholder experience & MIS

• Maintain accessible complaint channels, prioritise critical issues and communicate realistic closure times.

• Submit accurate dashboards covering manpower, audits, complaints, consumption, incidents, costs, risks and action status.

Non-negotiable operating disciplines

· No falsification of attendance, inspection, stock, training, complaint or invoice-support records.

· No use of unapproved chemicals, unsafe mixtures, untrained machine operation or cleaning without required PPE/signage.

· Respectful conduct and privacy in hostels, residences, offices and occupied spaces; no unauthorised access or photography.

· Immediate escalation of serious injury, hazardous spill, fire/smoke observation, suspected contamination, pest outbreak or major service failure.

Candidate eligibility

Education

Graduate required; diploma/degree in Hotel Management, Housekeeping or Facility Management preferred

Experience

10-12 years in institutional, hospitality, healthcare, corporate campus or large residential housekeeping, including meaningful team/vendor leadership

Systems

MS Excel, Word, PowerPoint; CAFM/BMS/helpdesk exposure preferred

Languages

Solid working communication in English and Hindi

Preferred background

University, hospital, hotel, township or large integrated campus with outsourced workforce exposure

Mandatory attributes

Integrity, service orientation, operational discipline and readiness for campus schedules

Knowledge and practical capability expected

· Ability to create manpower deployment plans, cleaning frequencies, SOPs, audit formats and shift controls.

· Practical understanding of mechanised cleaning equipment, chemical compatibility, dilution control, SDS and PPE.

· Ability to read a service contract, distinguish scope from extra work, validate evidence and prepare management-ready MIS.

· Experience managing sensitive campus environments, occupied hostels/residences, high-footfall events and multi-stakeholder expectations.
