Assistant Manager GRN

Reporting To: Store Head – General Manager

Job Purpose To manage the end-to-end Goods Receipt Note process and ensure timely, accurate and compliant receipt of materials at the plant. The role will be responsible for coordinating with Procurement, Stores, Quality, Finance, Planning and suppliers to ensure smooth material inward, system transactions and inventory accuracy.

Key Responsibilities

- Manage the complete GRN process for raw materials, electronic components, consumables, spares and other materials received at the plant.
- Ensure GRNs are generated accurately and within the defined TAT against valid Purchase Orders.
- Verify PO, Invoice, Delivery Challan, material quantity, part number, batch/lot details and other relevant documents before GRN creation.
- Coordinate with Stores, Purchase, Quality, Finance and Planning teams for timely material receipt and clearance.
- Ensure proper system transactions for material receipt, inspection, hold, rejection and acceptance.
- Monitor and resolve pending GRNs, quantity discrepancies, document mismatches and other inward-related issues.
- Coordinate with Finance and Procurement for PO–GRN–Invoice reconciliation and closure of mismatches.
- Maintain accurate GRN records and ensure proper documentation and traceability.
- Monitor GRN transactions in SAP/ERP and ensure inventory records are updated accurately.
- Prepare and review daily/weekly MIS covering:

- GRN pending status

- GRN ageing





- Material receipt status

- Quality inspection/hold status

- Rejection status

- PO/GRN/Invoice mismatches
- Ensure minimum GRN ageing and timely closure of all pending transactions.
- Establish and implement SOPs, work instructions and internal controls for the GRN process.
- Support internal, customer and external audits related to Stores, Inventory and Material Management.
- Identify process gaps and drive Kaizen / process improvement / automation initiatives to improve GRN accuracy and turnaround time.
- Lead, guide and monitor the GRN team to ensure productivity, discipline and adherence to defined processes.
- Ensure compliance with company policies, safety requirements and applicable quality management systems.

Candidate Profile

- Graduate / Postgraduate in Supply Chain, Logistics, Commerce, Engineering or a related discipline.
- 7–10 years of relevant experience in GRN, Stores, Warehouse, Material Management or Supply Chain.
- Candidates from EMS / Electronics / Automotive / High-volume Manufacturing industries will be preferred.
- Robust hands-on experience in SAP/ERP-based GRN and inventory transactions.
- Good understanding of PO, GRN, Invoice, Delivery Challan, Material Inspection and Inventory processes.
- Experience in handling high-volume material receipts and multiple SKUs/part numbers.
- Strong analytical, coordination and problem-solving skills.
- Good communication and team-management capabilities.
- Should be capable of working closely with Purchase, Quality, Finance, Production Planning and Stores teams.
