Key roles and responsibilities
Reception Duties
- Greet and welcome visitors in a professional and friendly manner.
- Manage the front desk (telephone, email, walk-ins).
- Answer, screen, and forward incoming calls.
- Maintain visitor logs and issue visitor passes.
- Coordinate incoming and outgoing courier/mail services.
- Ensure the reception area is tidy and presentable.

Administrative Duties
- Manage office supplies inventory and place orders as needed.
- Assist in scheduling meetings, booking conference rooms.
- Maintain records, files, and office documents (both digital and physical).
- Support HR/admin in onboarding tasks (like issuing ID cards, orientation materials).
- Handle petty cash and assist in expense tracking.
- Liaise with vendors, maintenance, housekeeping, etc.
- Prepare and circulate internal communications, memos, or notices.
- Handle incoming calls professionally and route them to relevant departments.
- Manage visitor access, maintain the visitor log, and ensure ID verification.
- Receive and dispatch courier, mail, and inter-branch communication.
- Ensure that the reception and customer waiting areas are clean, professional, and compliant with our branding.
- Coordinate administrative support across departments.
- Maintain branch-level files, employee attendance records, and leave registers.
- Assist with onboarding processes for new hires (ID creation, document collection, setup).
- Monitor office supplies and stationery, initiate purchase requests as needed.
- Liaise with vendors for facility management, security, housekeeping, and AMC services.
- Maintain petty cash records and assist with routine administrative expenses and bill submissions.
- Support organizing staff meetings, compliance audits, and training sessions.
- Assist in scheduling appointments for MD office or senior officials.
Compliance & Confidentiality
- Ensure front desk procedures comply with RBI guidelines a d.
- Maintain confidentiality in handling customer and employee data.
- Support documentation for internal/external audits and compliance inspections.

- Proficiency in MS Office (Word, Excel, Outlook).
- Knowledge of office equipment (printers, scanners, Video conferencing & telephone).

Qualifications & Experience
- Minimum Qualification: Graduate in any discipline (preferably from Hospitality Industry).
- Experience: 1–3 years in a similar front desk/admin role.
