Job Summary The Finance and Admin Manager will oversee the financial operations and administrative functions of The Desai Foundation Trust, ensuring accurate financial reporting, regulatory compliance, effective management of organisational funds, and smooth day-to-day operations. This role requires a strategic thinker with strong financial acumen, organisational ability, attention to detail, and a passion for supporting the mission of a nonprofit organisation.
Key Responsibilities
1. Financial Management
- Develop, implement, and maintain financial policies, procedures, and internal controls to ensure fiscal responsibility.
- Prepare and manage the annual budget in collaboration with the leadership team, monitoring expenditures to ensure alignment with organisational goals.
- Oversee day-to-day financial operations, including accounts payable, accounts receivable, payroll, and general ledger maintenance.
- Manage cash flow and ensure sufficient funds are available for operational and programmatic needs.
2. Financial Reporting and Compliance
- Prepare accurate and timely financial statements, including balance sheets, income statements, and cash flow statements.
- Ensure compliance with all applicable laws, regulations, and standards, including tax filings, audits, and donor reporting requirements.
- Coordinate and support annual audits, liaising with external auditors to ensure a smooth and transparent process.
- Provide financial reports to the Board of Trustees and leadership team to support strategic decision making.
3. Grants and Donor Fund Management
- Oversee the financial aspects of grants, including budgeting, tracking,
and reporting to donors.
- Ensure proper allocation and utilisation of restricted and unrestricted funds in accordance with donor agreements.• Collaborate with the program team to develop grant budgets and monitor grant-related expenditures.
4. Administrative Operations
- Oversee day-to-day administrative operations of the DFT office, ensuring efficient systems and processes are in place.
- Manage office procurement, vendor relationships, and service contracts to ensure cost effectiveness and quality.
- Maintain organised records management systems, including filing, document control, and archiving of organisational records.
- Coordinate logistics for team meetings, board meetings, and organisational events, including travel arrangements and scheduling.
- Liaise with legal, insurance, and regulatory bodies to ensure organisational compliance and timely renewal of registrations and licenses.
- Support onboarding of new staff by coordinating administrative setup, orientation materials, and access to systems and resources.
5. HR and Payroll Administration
- Administer payroll in a timely and accurate manner, ensuring compliance with statutory requirements (PF, ESI, TDS, etc.).
- Maintain employee records and support the Head of Operations in implementing HR policies and procedures.
- Track attendance, leave balances, and other HR data, generating reports as required.
- Coordinate with external HR consultants or legal counsel on employee relations matters when necessary.
6. Strategic Planning and Analysis
- Provide financial insights and analysis to support the organization's strategic planning and program evaluation.
- Identify opportunities for cost savings and operational efficiencies without compromising program quality.
- Advise leadership on financial risks and opportunities, contributing to long-term sustainability.
7. Team Leadership and Collaboration
- Supervise and mentor finance and administrative staff, fostering a culture of accountability and professional growth.
- Collaborate with program managers and other departments to align financial and administrative strategies with organisational objectives.
- Maintain strong communication with stakeholders, including donors, partners, and regulatory bodies.
Qualifications:
- Education: Bachelor’s degree in accounting, Finance, Business Administration, or a related field. A master’s degree or professional certification is preferred.
- Experience: Minimum of 5 to 7 years of experience in accounting, financial management, or administration, with at least 3 years in a manager role, preferably in a nonprofit organisation.
Skills:
o Proficiency in accounting software (e.g., Tally, QuickBooks) and Microsoft Office Suite
(especially Excel).o Strong knowledge of Indian financial regulations, tax laws, and nonprofit compliance requirements (e.g., FCRA, Income Tax Act).
o Familiarity with office administration systems, vendor management, and procurement processes.
o Excellent analytical, problem-solving, and decision-making skills.
o Ability to communicate complex financial information clearly to non-financial stakeholders.
o High level of integrity, confidentiality, and attention to detail.
