Executive Assistant to Senior Leadership
Locations: Bengaluru and Mumbai (1 position each)
Position Overview
We are seeking a highly organized, proactive, and versatile Executive Assistant to provide high-level administrative, operational, and strategic support to executive leadership.
Serving as a trusted liaison and key point of contact, you will manage calendar logistics, oversee internal and external communications, facilitate cross-functional stakeholder coordination, and support project tracking and administrative governance.
The ideal candidate brings a strong background in executive support, HR/administrative processes, stakeholder management, and client operations to ensure seamless day-to-day leadership support.
Key Responsibilities
Executive Support & Calendar Management
- Manage and optimize complex executive calendars, prioritizing meeting requests, resolving scheduling conflicts, and handling travel logistics and itineraries.
- Draft, review, and handle confidential executive correspondence, reports, presentations, and briefing documents for leadership meetings.
- Review, track, and approve expense reports, travel claims, medical claims, and attendance/leave reporting.
Stakeholder Management & Communications
- Act as a seamless communication bridge between the executive office, internal departments, external vendors, and key business partners.
- Oversee internal messaging and communications aligned with organizational priorities.
- Coordinate executive-level meetings, leadership events, and joint partner engagements.
Project Tracking & Operational Governance
- Assist in tracking key business projects, initiatives,
and retail/vendor deliverables to ensure timely execution.
- Maintain governance documents, corporate records, and administrative reports.
- Liaise across functional units to follow up on action items and resolve queries within established SLAs.
HR & Administrative Oversight
- Support administrative and HR operational workflows, including policy compliance, vendor contract review, and team coordination.
- Coordinate cross-departmental documentation, office coordination, and event/campaign support as needed.
Qualifications & Requirements
- Experience: 5+ years of progressive professional experience across Executive Support, HR & Administration, Client Relationship Management, or Corporate Communications.
- Education: Bachelors Degree (Bachelor's or equivalent business/administrative discipline preferred).
- Technical Skills: Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and enterprise travel/GDS systems or travel management tools.
- Communication: Exceptional written, verbal, and interpersonal communication skills with a proven track record of managing confidential and sensitive information with high integrity.
