Job SummaryWe are looking for an experienced and proactive Senior Event Operations Manager to lead the planning, coordination, and execution of corporate, educational, and institutional events. The role will be responsible for managing events end-to-end, from initial planning and logistics to on-ground execution and post-event closure.

The Senior Event Operations Manager will lead internal teams and external vendors, manage client and stakeholder relationships, oversee budgets and timelines, resolve operational challenges, and ensure seamless execution of events while maintaining high standards of quality, professionalism, and client satisfaction.

Key ResponsibilitiesEvent Planning &

• End-to-End Execution

- Lead the end-to-end planning and execution of corporate, educational, and institutional events.
- Develop detailed event timelines, operational plans, checklists, schedules, and execution strategies.
- Understand client requirements, event objectives, deliverables, and operational expectations.
- Coordinate with internal teams to ensure all event requirements are planned and executed within timelines.
- Take overall ownership of event operations from the planning stage through successful completion.
- Identify operational risks in advance and develop appropriate contingency plans.

Logistics & • Vendor Management
- Oversee complete event logistics including venue arrangements, audio-visual setup, branding, catering, registration desks, seating plans, transportation, accommodation, and other event requirements.
- Manage and coordinate with vendors including venues, caterers, decorators, AV partners, printers, logistics providers, and other service partners.
- Evaluate vendor capabilities, negotiate commercials where required, and ensure services are delivered as per agreed specifications and timelines.
- Monitor vendor performance, service quality, and adherence to agreed budgets.
- Resolve vendor-related issues and ensure timely closure of operational requirements.

On-Ground Event Operations
- Lead and oversee on-site operations before, during, and after the event.
- Manage event staff, coordinators, volunteers, and temporary workforce.
- Allocate responsibilities and ensure team members are properly briefed before event execution.
- Take charge of real-time operational decision-making and problem-solving during events.
- Ensure contingency plans are implemented effectively in case of operational challenges.
- Monitor overall event flow, schedules, guest movement, registrations, sessions,



and other critical activities.
- Ensure strict adherence to safety, compliance, venue guidelines, and operational standards.

Client & • Stakeholder Management
- Act as the primary operational point of contact for clients during event planning and execution.
- Build and maintain robust professional relationships with clients and key stakeholders.
- Coordinate with speakers, trainers, guests, VIPs, and other stakeholders to ensure smooth participation and engagement.
- Understand and manage client expectations throughout the event lifecycle.
- Handle client concerns and operational escalations professionally and ensure timely resolution.
- Ensure a high level of service delivery and professionalism to achieve strong client satisfaction.

Team Leadership & • Coordination
- Lead, guide, and supervise the event operations team to ensure effective execution of responsibilities.
- Delegate tasks and monitor team performance against event timelines and deliverables.
- Conduct pre-event briefings and post-event debriefs with the team.
- Ensure effective communication and coordination between internal teams, vendors, and clients.
- Support team members in resolving operational challenges and provide guidance during critical situations.
- Take ownership of overall team performance during event execution.

Pre & • Post-Event Activities
- Oversee pre-event activities including registrations, confirmations, guest communication, material preparation, vendor coordination, and venue readiness.
- Ensure all event materials, branding, equipment, and other requirements are ready before the event.
- Manage post-event activities including vendor closures, reconciliation, feedback collection, documentation, and reporting.
- Prepare detailed post-event reports covering execution summary, challenges, outcomes, client feedback, and key learnings.
- Conduct post-event reviews to identify areas for improvement and implement learnings for future events.

Budget & • Cost Management
- Take ownership of event budgets and monitor expenses throughout the event lifecycle.
- Prepare and maintain event cost sheets, estimates, and expense trackers.




- Ensure event execution remains within approved budgets without compromising quality.
- Review vendor quotations and negotiate commercial terms where applicable.
- Coordinate with internal teams for approvals, purchase requirements, payments, and vendor closures.
- Identify opportunities for cost optimization and efficient resource utilization.

Risk Management & • Compliance
- Identify potential operational, logistical, and execution-related risks before and during events.
- Develop contingency plans for critical event requirements.
- Ensure compliance with venue policies, safety standards, and internal operational procedures.
- Take immediate and appropriate action during unforeseen situations or event emergencies.
- Maintain proper event-related documentation and records.

Qualifications & • Experience
- Bachelor’s degree in Event Management, Hospitality, Mass Communication, Business Administration, or a related field.
- 5–8 years of relevant experience in event operations, event management, or a related field.
- Proven experience in independently managing and executing corporate, educational, or institutional events.
- Experience managing vendors, clients, budgets, and on-ground event teams.
- Willingness to travel locally and work flexible hours, including weekends and holidays, as required by events.
