About the role:
The Documentation Specialist is responsible for understanding, documenting, and maintaining business processes for recent and existing client projects.The role involves working with clients and internal teams to capture workflows accurately and convert them into clear, structured, and user-friendly Standard Operating Procedures (SOPs) and supporting documents.
Responsibilities:
- Participate in client process-discovery and knowledge-transfer sessions.
- Understand workflows through discussions, demonstrations, and screen-sharing sessions.
- Convert process information into clear and structured SOPs, work instructions, and reference guides.
- Create process maps, checklists, flowcharts, screenshots, and other supporting visuals.
- Ask relevant questions to identify gaps, exceptions, dependencies, and unclear process areas.
- Review documentation with clients and internal stakeholders to ensure completeness and accuracy.
- Update SOPs and supporting documents when processes or client requirements change.
- Maintain document version control, revision history, and approval records.
- Work closely with operations, SMEs, training teams, and leadership.
- Organize and maintain documentation repositories.
- Ensure documents follow established templates, standards, and formatting guidelines.
- Support new client onboarding, process transitions, and knowledge transfer.

and proofreading skills.
- Strong listening, comprehension, and note-taking abilities.
- Ability to understand and simplify complex business processes.
- Strong documentation and technical-writing skills.
- Ability to create clear, logical, and step-by-step instructions.
- Strong attention to detail and commitment to accuracy.
- Good communication and stakeholder-management skills.
- Proficiency in Microsoft Office, Google Workspace, or similar applications.
- Ability to create process maps, flowcharts, and visual documentation.
- Good organizational and time-management skills.
- Willingness to work in fixed, rotational, or night shifts based on business and project requirements.
- Flexibility to work according to the assigned client’s region, including Australia, the United Kingdom, the United States, and Canada.
- Flexibility to accommodate changes in shift timings, working days, weekly offs, and holiday schedules based on client and operational requirements.
Qualifications and Experience:
- Bachelor’s degree or an equivalent qualification.
- Previous experience in process documentation, technical writing, training, operations, or a related role is preferred.
- Experience creating SOPs, work instructions, process maps, or business-process documentation is highly desirable.
- Familiarity with document-management, flowcharting, or screen-capture tools is an advantage
