Position Overview The DMS Operator owns the systems, documentation and commercial cycle of a service hub. Working alongside the Hub Supervisor, who owns ground-level workshop activity, you will make sure every vehicle that enters the hub is captured as a job card, estimated, repaired, invoiced and reconciled accurately and on time. You are the second-in-command at the hub and are expected to step in for the Supervisor when required.
What You'll Do
- Create, update and close job cards in the DMS and submit repair estimates in real time.
- Raise spare parts orders, track them through delivery and complete GRN in the system.
- Dispatch and document warranty parts and parts sent out for repair.
- Prepare daily and monthly reports and keep hub dashboard data accurate.
- Generate and submit invoices against completed job cards.
- Close delivery challans on a monthly cycle.
- Settle petty cash monthly with complete supporting documentation.
- Reconcile hub accounts every month and obtain client sign-off.
- Coordinate with the store, technicians, finance and external partners to keep pendency low.
- Support the Hub Supervisor on day-to-day hub operations and stand in during their absence.
What You'll BringMust-Have
- Diploma in Mechanical or Automobile Engineering, or a graduate with automotive service back-office experience.
- 2-5 years in workshop administration, service back office or spare parts coordination.
- Hands-on experience with a dealer management or job card system.
- Working knowledge of spare parts ordering and GRN processes.
- MS Excel reporting ability for daily and monthly hub reports.
- Familiarity with invoicing, basic accounting and warranty documentation.
Good-to-Have
- Prior experience in a supervisory or second-in-command role at a workshop.
- Background in commercial vehicle, LCV or MCV service networks.
- Experience handling petty cash and monthly client reconciliation.
- Exposure to EV or two-wheeler service operations.
