We are looking for a Client Relationship & Appointment Executive who will be responsible for handling incoming client calls and WhatsApp enquiries, explaining our consultation services, collecting payments, booking appointments, and coordinating with clients until their consultation is completed.
This is a client-facing and sales-oriented role. We are looking for someone who communicates confidently, responds quickly, follows up consistently, and can convert genuine enquiries into confirmed paid appointments.
Key Responsibilities
Answer all incoming client phone calls during working hours.
Respond promptly and professionally to WhatsApp messages and enquiries.
Understand the client’s requirement and explain the appropriate consultation/service.
Explain consultation pricing, availability and booking process clearly.
Follow up with interested clients and help convert enquiries into paid bookings.
Share payment details/links and coordinate collection and confirmation of payments.
Schedule and manage appointments for consultations.
Maintain an accurate daily record of new enquiries, follow-ups, payments and appointments.
Send appointment confirmations and necessary instructions to clients.
Coordinate with clients before and after their scheduled appointments whenever required.
Follow up with leads who enquired but did not immediately book.
Handle rescheduling, cancellations and other appointment-related communication.
Maintain professional and polite communication with every client.
Coordinate internally with the AstroIndia team to ensure smooth delivery of services.

Have excellent Engish communication skills.
Be comfortable communicating in basic/skilled English when required.
Have strong telephone communication and client-handling skills.
Be comfortable speaking with a large number of clients every day.
Have experience in customer service, telesales, inside sales, appointment booking, front desk, CRM or client relationship management.
Be confident in discussing prices and asking clients to complete payments.
Have good follow-up and sales-conversion skills.
Be highly responsive on WhatsApp and phone.
Be organised and capable of managing multiple appointments and conversations simultaneously.
Be comfortable using WhatsApp Business, phone calls, Google Sheets/Excel and basic computer applications.
Be responsible, punctual and disciplined with client data and follow-ups.
