About The Role Office Beacon ASPL is seeking an experienced Part-Time Bookkeeper to join our Finance & Accounting department. This role is pivotal in supporting a U.S.-based nonprofit organization by managing day-to-day financial activities and ensuring accurate recordkeeping.

The ideal candidate will possess hands-on experience with QuickBooks Online (QBO) and a deep understanding of nonprofit accounting practices, including handling accounts payable, receivable, reconciliations, and expense reimbursements. The position offers flexibility with a hybrid work arrangement and is well suited for a professional who thrives in an independent environment, demonstrating meticulous attention to detail and the ability to meet strict deadlines. The working hours are approximately 10:00 AM to 2:00 PM Pacific Time, aligning with the operational needs of the client organization.

Qualifications The successful candidate will have prior skilled experience as a Bookkeeper or in a similar accounting role, with proficiency in QuickBooks Online.

Experience supporting U.S. 501(c)(3) nonprofit organizations is essential, along with a solid understanding of nonprofit-specific accounting procedures.



Candidates should demonstrate expertise in managing accounts payable, accounts receivable, reconciliations, and expense reimbursements, as well as supporting month-end closing activities. Knowledge of nonprofit financial reporting, audit preparation, and compliance with California nonprofit regulations is highly desirable.

Strong communication skills in English, both written and verbal, are required to effectively liaise with stakeholders. The ability to work independently, manage recurring responsibilities, and adhere to deadlines is critical. Candidates must also be available to work during the specified hours of 10:00 AM to 2:00 PM Pacific Time.

Responsibilities Bookkeeping & Accounting Operations

- Manage daily accounts payable and receivable activities, ensuring timely processing and accuracy.
- Process expense reimbursements and maintain comprehensive supporting documentation.
- Maintain up-to-date and accurate financial records within QuickBooks Online.
- Review transactions and account balances regularly to ensure correctness and completeness.
- Organize and file financial records systematically to facilitate easy access and audit readiness.

Reconciliations & Month-End

- Perform bank, credit card, and expense account reconciliations accurately and efficiently.
- Assist in month-end closing activities, ensuring all financial data is complete and correct.
- Investigate discrepancies, resolve issues, and follow up on outstanding items to ensure data integrity.
- Ensure all supporting documentation aligns with financial records for audit purposes.

Audit & Compliance Support





- Prepare and organize financial documentation required for audits, ensuring completeness and accuracy.
- Support the audit process by providing supporting schedules and responding to auditor inquiries.
- Assist in maintaining compliance with relevant federal and state regulations, including California nonprofit laws.
- Support ongoing compliance activities related to nonprofit accounting and tax filings.

Communication & Coordination

- Maintain clear and professional communication with internal stakeholders regarding accounting matters.
- Track recurring accounting tasks, deadlines, and follow-ups to ensure timely completion.
- Work independently, escalating issues when necessary, to ensure smooth financial operations.
