& JOB PROFILE

Position: Administrative Assistant – Government & Non-Government Tender Specialist

Department: Administration / Tender & Business Development Reporting To: Management / Tender Head

- Position Summary The Administrative Assistant – Tender Specialist will be responsible for identifying, monitoring, preparing,

coordinating, submitting and tracking government and non-government tenders, quotations, bids, RFQs and contract opportunities. The role will support the company in expanding business through GeM, Central/State Government departments, PSUs, hospitals, private organizations, corporates and other institutional buyers.

- Key Responsibilities

- Tender Identification: Search and monitor GeM, CPPP/e-procurement portals, state government portals, PSU

portals, hospital portals, private tender platforms and other relevant sources.
- Tender Screening: Review eligibility, scope of work, EMD, tender fee, turnover, experience, technical requirements,

OEM authorization, certifications, timelines and other conditions.
- Tender Documentation: Prepare and maintain technical, commercial, administrative and statutory documents

required for bids.
- Bid Preparation: Coordinate with management, finance, service engineers, sales and vendors/OEMs to prepare

complete and compliant tender submissions.
- Quotation & Commercial Coordination: Obtain prices, prepare comparative statements, quotations, BOQs, price

schedules and commercial submissions as required.
- GeM Activities: Support seller registration/profile management, product/service listing, bid participation, reverse

auction coordination, order processing and related documentation.
- Compliance: Maintain checklists to ensure every bid is submitted before deadline and all mandatory forms,

declarations, certificates and signatures are included.
- Clarifications & Correspondence: Track pre-bid queries, corrigenda, clarifications, amendments and communication

from tendering authorities.
- Post-Bid Follow-up: Track technical evaluation, financial opening, award/LOA/PO, agreement, security

deposit/performance bank guarantee and subsequent contract requirements.
- Contract & Renewal Tracking: Maintain records of awarded contracts, AMC/service contracts, expiry dates,





renewals, performance obligations and payment milestones.
- Records & Reporting: Maintain a centralized tender database and submit daily/weekly/monthly MIS reports to

management.
- Vendor/OEM Coordination: Coordinate for authorization letters, OEM certificates, product specifications, compliance

documents, prices and technical support.
- Administrative Support: Handle document filing, email communication, meeting coordination, dispatch/courier

records and other tender-related administrative work.
- Tender Categories to Handle

- Government tenders – Central Government, State Government, municipal bodies, government hospitals and

departments.
- GeM bids and reverse auctions.
- CPPP and state e-procurement tenders.
- PSU and public-sector institutional procurement.
- Government hospital, medical college and healthcare procurement opportunities.
- Private hospital, corporate, laboratory and institutional RFQs/tenders.
- AMC, CMC, annual service, maintenance and manpower/service contracts.
- Supply, installation, commissioning, repair and maintenance contracts.
- Other non-medical government/private contracts suitable for the company's workforce and operational capabilities.

4. Required Skills & Competencies

Area Required Capability

Tender Knowledge Understanding of tender/RFQ processes, eligibility criteria, bid documents, EMD, PBG,

technical and financial bids.

Portal Skills Comfortable using GeM, e-procurement portals, CPPP/state portals and online submission systems.

Documentation Strong MS Word/Excel/PDF/document-management skills; accurate formatting and file preparation.

Communication Skilled email drafting, telephone coordination and follow-up with authorities,

vendors and internal teams.

Commercial Skills Basic understanding of quotations, BOQ, taxes/GST, pricing and comparative statements.





Organization Excellent deadline management, document tracking and attention to detail.

Research Ability to identify new tender opportunities and assess whether they fit company capabilities.

- Educational Qualification & Experience

- Qualification: Graduate in any discipline. B.Com, BBA, BA, B.Sc., business administration, commerce or related

qualification preferred.
- Experience: 1–3 years in tender management, administration, procurement, sales coordination or a similar role

preferred. Candidates with strong portal/documentation skills may also be considered.
- Preferred Exposure: GeM, government procurement, e-tendering, medical equipment/service tenders, hospital

procurement, PSU procurement or private institutional RFQs.
- Key Performance Indicators (KPIs)

- Number of relevant tender opportunities identified and qualified.
- Accuracy and completeness of tender submissions.
- Percentage of bids submitted before deadlines.
- Tender/quotation pipeline maintained and updated regularly.
- Timely follow-up on bid status, clarifications and awarded orders.
- Quality and completeness of tender documentation and MIS reports.
- Contribution to successful tender participation and order conversion.

8. Employment Note The employee will be expected to follow the company's tender approval process and shall not submit any bid, quote,

undertaking, declaration or commercial commitment without the required internal authorization. All tender activities must comply with applicable portal rules, tender conditions and company policies.

Pay: ₹12,000.00 - ₹25,000.00 per month
