Job Title: Admin Manager – Mumbai
Department: Administration
Reports To: Director
Location: Vashi (HO), Mumbai
Job Purpose:
The Admin Manager is responsible for overseeing and managing all administrative operations across Kidzonia International Preschool &
- Day Care centers in Mumbai. The role ensures smooth functioning of centers, infrastructure maintenance, vendor management, statutory compliance related to administration, asset management, and operational support to all centers.
The Admin
Manager will regularly travel to centers to monitor facilities, resolve operational issues, and ensure a secure, clean, and child-friendly environment.
Note: Possession of a valid two-wheeler and willingness to travel extensively across Mumbai centers is mandatory for this role.
Key Responsibilities
1.
Administrative Operations
Management
- - Oversee day-to-day administrative operations of all Mumbai centers.
- Ensure smooth functioning of facilities, equipment, and support services.
- Develop and implement administrative policies, procedures, and controls.
- Monitor center readiness and operational efficiency.
- Coordinate with Center Managers for administrative requirements and support.
2. Facility &
- Infrastructure Management
- - Conduct regular visits to centers to inspect infrastructure and facilities.
- Ensure classrooms, daycare areas, play zones, and common areas are well maintained.
- Coordinate repair, maintenance, and renovation activities.
- Monitor housekeeping, cleanliness, hygiene, and upkeep standards across centers.
- Ensure uninterrupted availability of electricity, water, internet, and other essential services.
3.
Vendor
Management
- - Identify, evaluate, and onboard vendors for various administrative services.
- Manage contracts and service agreements with vendors.
- Negotiate pricing and service terms to optimize costs.
- Monitor vendor performance and service quality.
- Ensure timely renewal of contracts and service agreements.
4. Procurement &
- Inventory Management
- - Manage procurement of office supplies, stationery, furniture, housekeeping materials, and center requirements.
- Ensure timely availability of materials across all centers.
- Maintain inventory records and stock levels.
- Conduct periodic stock audits and asset verification.
- Implement cost-effective purchasing practices.
5.
Asset
Management
- - Maintain records of company assets and equipment.
- Track allocation, movement, maintenance, and disposal of assets.
- Conduct periodic asset audits across centers.
- Ensure proper utilization and safeguarding of organizational assets.
6. Safety, Security &
- Compliance
- - Ensure implementation of safety and security standards across all centers.
- Coordinate fire safety inspections and emergency preparedness activities.
- Ensure availability and maintenance of firefighting equipment and first-aid kits.
- Monitor compliance with local municipal and administrative regulations.
- Support management during audits and inspections.
7. Transport &
- Travel Coordination
- - Coordinate administrative travel requirements for management and staff, when required.
- Plan and manage inter-center logistics and material movement.
- Maintain records related to administrative travel and expenses.
8. Budgeting &
- Cost Control
- - Prepare and monitor administration budgets.
- Track administrative expenses and identify cost-saving opportunities.
- Ensure optimum utilization of resources without compromising service quality.
- Generate periodic expense and budget reports for management review.
9.
Center
Audit &
- Monitoring
- - Conduct regular center visits and administrative audits.
- Identify operational gaps and recommend corrective actions.
- Monitor compliance with company standards and administrative SOPs.
- Submit inspection reports and follow-up on closure of observations.
10. Government &
- External Agency Coordination
- - Liaise with local authorities, building management, utility providers, and external agencies as required.
- Coordinate documentation and approvals related to administrative requirements.
- Support center operations during inspections and regulatory visits.
11.
Administration
Documentation &
- Reporting
- - Maintain records related to assets, vendors, contracts, maintenance, and administrative expenses.
- Prepare periodic MIS reports for management.
- Track and monitor administrative KPIs.
- Maintain proper documentation for audits and compliance purposes.
12. Support to Business Operations
- - Provide administrative support for new center setup and expansion activities.
- Coordinate infrastructure readiness for center launches.
- Support events, parent programs, training sessions, and organizational activities.
- Ensure administrative services contribute to a positive experience for children, parents, and staff.
Required Qualifications
- - Bachelor’s Degree in Administration, Management, Commerce, or a related field.
- Postgraduate qualification in Management is preferred.
Experience
- - 5–8 years of experience in Administration and Facilities Management.
- Experience managing multiple locations/branches is preferred.
- Experience in Preschool, School, Education, Retail, Healthcare, or Service Industry will be an advantage.
