Inventory Executive – Retail Apparel

Company: S³ Mart (Shop Smart Style), a multi-store fashion retailer for men, women and kids

Location: Hyderabad. Based at our Putli Bowli warehouse, with regular visits to the Ameerpet, Ramnagar, Madhapur and Manikonda stores

Reports to: Director / Head of Operations

Type: Full-time, 6 days a week

Experience: 2–5 years in retail or apparel inventory

About the role

We're a growing apparel chain with four stores and a central warehouse. We need one person who fully owns our stock data: what we have, where it is, and whether the system matches the shelf. You'll be the main owner of Ginesys in the company and the person stores and the warehouse come to for inventory questions.

What you'll own

Ginesys system

- Keep the item master accurate: styles, sizes, colours, MRP, HSN codes and tax rates
- Enter purchase orders and GRNs against vendor invoices, and check quantity and price variances
- Set up barcodes and labels for all incoming stock
- Configure promotions and markdowns in Ginesys POS, such as our "Upto 25% + 25%" sale offers, and check that they apply correctly at billing

Stock movement

- Plan and process stock transfers from the warehouse to stores, and between stores, with correct transfer documents
- Handle purchase returns to vendors and customer returns and exchanges in the system
- Make sure no stock leaves or enters the warehouse or a store without a system entry

Accuracy and control

- Run weekly cycle counts and quarterly full physical audits at every location
- Reconcile system stock with physical stock, investigate differences, and report shrinkage
- Keep audit trails and documentation ready for accounts and GST compliance

Reporting

- Share weekly MIS on stock by location, sell-through, ageing and slow-moving items, and stock-outs on rapid sellers




- Recommend replenishment and inter-store rebalancing based on sales data
- Flag old stock for markdown before season end

People and process

- Train store staff on the correct Ginesys POS and inventory procedures
- Help write and enforce inventory SOPs for the warehouse and stores, and track compliance

What this role does not own
- Vendor selection and buying decisions. You provide the data; management decides.
- Final approval of pricing and discount levels
- Store sales targets and visual merchandising
- Accounts payable and GST filing. You work closely with accounts but don't file.

What we're looking for

Must have

- Hands-on experience with Ginesys ERP and POS : item master, PO/GRN, stock transfers, promotions, and standard reports
- 2+ years in inventory or stock control, preferably in apparel or footwear retail
- Strong Excel skills: pivot tables, XLOOKUP/VLOOKUP, and basic data cleaning
- Understanding of GST invoicing and stock transfer documentation

Good to have

- Experience running audits across several stores
- Knowledge of size-ratio planning and season-wise stock management
- Can speak Telugu, Hindi and English, to work with store staff and vendors

The kind of person we want

- Detail-oriented and uncomfortable leaving a stock mismatch unexplained
- Firm about process, even when stores push back
- Comfortable spending time at stores, not only at a desk

How we'll measure success (first 90 days)
- Physical-vs-system stock variance brought below an agreed target at every location
- 100% of stock movements entered in Ginesys, with no manual or off-system transfers
- Weekly MIS delivered on time, every week
- Store staff at all four stores trained on inventory SOPs

Compensation ₹20,000 – ₹30,000 per month, depending on experience.
