1. Job Purpose To manage and control the day-to-day Finance & Accounts operations of the hospital, ensuring accurate accounting, timely financial reporting, effective cash-flow management, statutory compliance, billing controls, bank reconciliation, internal controls, and adherence to financial policies and IFC requirements.
2. Key Responsibilities
A. Hospital Billing & Revenue Control
- Monitor daily IPD, OPD, Pharmacy, Diagnostics, OT, Consultation and other hospital billing.
- Ensure billing is complete, accurate and properly supported by relevant documents.
- Review cancellations, discounts, refunds, credit notes and adjustments.
- Monitor outstanding receivables and coordinate with concerned departments for timely recovery.
- Ensure proper reconciliation between hospital billing software, collection records and bank receipts.
- Identify revenue leakage and implement appropriate controls.
B. Daily Finance & Accounting Operations
- Supervise day-to-day accounting activities and ensure transactions are recorded accurately and timely.
- Review receipts, payments, journals, purchase entries and other accounting vouchers.
- Ensure all vouchers are properly supported and approved as per the organization's delegation of authority/IFC.
- Monitor cash and bank transactions.
- Maintain proper accounting records and documentation.
C. Bank Reconciliation & Cash Management
- Ensure daily bank reconciliation of all hospital bank accounts.
- Reconcile hospital billing/collection data with bank statements.
- Investigate and resolve unreconciled transactions and differences on a timely basis.
- Monitor daily cash position and coordinate fund requirements.
- Ensure proper control over cash collections and deposits.
D. Accounts Payable & Vendor Management
- Review vendor invoices, purchase bills and supporting documents.
- Ensure proper verification and approval before processing payments.
- Monitor vendor outstanding balances and ageing.
- Coordinate with Purchase/Stores/Administration for discrepancies in vendor invoices.
- Ensure timely and accurate vendor payments as per approved terms.
E. Accounts Receivable
- Monitor patient, corporate, TPA and other receivables.
- Prepare and review ageing reports.
- Follow up with concerned departments for collection of outstanding amounts.
- Ensure timely reconciliation of patient/TPA/corporate accounts.
- Highlight long-pending and disputed balances to management.
F. MIS & Management Reporting
- Prepare daily/weekly/monthly financial MIS as required by management.
- Prepare revenue, collection, expenditure and profitability reports.
- Provide management with analysis of:
- IPD/OPD revenue
- Collection
- Receivables
- Expenses
- Cash flow
- Department-wise performance
- Budget vs. actual
- Highlight significant variances and provide explanations/action points.
I. Internal Control & IFC
- Ensure compliance with the organization's Internal Financial Controls (IFC).
- Review financial processes and identify control gaps.
- Ensure segregation of duties and appropriate authorization levels.
- Conduct periodic checks of billing, receipts, payments, bank reconciliation and accounting records.
- Report irregularities, control weaknesses and suspected financial leakage to management.
- Implement corrective and preventive actions.
J. Audit
- Coordinate with internal, statutory and external auditors.
- Provide required schedules, reconciliations and supporting documents.
- Ensure audit observations are addressed within agreed timelines.
- Maintain proper audit trails and documentation.
- Follow up on pending audit observations.
K. Inventory & Pharmacy Finance Controls
- Coordinate with Stores/Pharmacy for financial controls over inventory.
- Review stock-related accounting and reconciliation.
- Monitor stock adjustments, shortages, expiry and write-offs.
- Ensure appropriate authorization for inventory adjustments.
- Train staff on accounting procedures, hospital billing controls and financial policies.
- Ensure timely completion of month-end and year-end closing activities.

4. Month-End Responsibilities
- Complete monthly books of accounts within the defined timeline.
- Ensure all income and expenses are properly accounted for.
- Complete bank, vendor, patient, TPA and other reconciliations.
- Review provisions, accruals, prepaid expenses and outstanding liabilities.
- Prepare monthly MIS and financial analysis along with preparation of Financials.
- Coordinate with auditors and management for month-end review.
- Ensure zero/acceptable unexplained reconciliation differences.
