Nature of The Job

- The System & Quality Manager (Systems, Quality & Reporting) is responsible for the effective administration, development and quality assurance of the University's timetabling systems and related operational processes. Acting as joint deputy & joint cover to the Timetabling Operations Manager, the role provides operational leadership across system administration, reporting, training, documentation and process improvement.
Job Purpose
- The postholder will lead the ongoing development and optimisation of the TimeEdit platform and associated integrations, ensuring that timetabling systems remain robust, efficient and aligned with institutional requirements. The role is responsible for establishing high standards of system governance, operational procedures, data quality and management information, while developing expertise across the end-to-end timetabling lifecycle and its interaction with student records, assessment scheduling, human resources and space management functions.

System Ownership & Administration
- Act as the lead administrator for the TimeEdit timetabling platform and associated modules.
- Support the implementation, development and ongoing optimisation of TimeEdit and related scheduling solutions, including exams and room bookings
- Maintain system configurations, business rules, workflows and user permissions.
- Manage system upgrades, testing activities and change control processes.
- Liaise with suppliers, IT teams and business stakeholders to resolve system issues and deliver enhancements.
- Ensure system performance, reliability and data integrity are maintained.
Timetabling Operations & Business Knowledge
- Develop and maintain a comprehensive understanding of timetabling operations across teaching, assessments, room bookings and related scheduling activities.
- Act as a key link between operational timetabling requirements and system capabilities.
- Support the Timetabling Operations Manager in developing operational policies and service standards.
- Deputise for the Timetabling Operations Manager as required.
- Identify opportunities to improve efficiency, automation and service delivery through system functionality and process redesign.

Reporting, Analytics & Business Intelligence
- Oversee the development and maintenance of timetabling reporting and management information.
- Lead the use of Power BI and related reporting tools to deliver accurate and insightful operational reporting.
- Develop dashboards and performance metrics that support decision making.
- Ensure consistent reporting methodologies and data definitions are applied across the function.
- Provide analysis and recommendations to support planning, resource utilisation and operational improvement.

Data Quality & System Integration
- Maintain a strong understanding of key institutional systems and their interactions with timetabling processes, including:
- Student Records Systems
- Assessment Management Systems
- Human Resources and Staff Data Systems
- Room and Space Management Systems
- Support data integration activities and investigate issues affecting data quality.
- Establish controls, validation processes and quality assurance checks across timetabling datasets.
- Work closely with technical teams to ensure data flows are accurate, consistent and sustainable.

Training & Capability Development
- Lead the development and delivery of training for timetabling systems and associated processes.
- Produce guidance materials, user documentation and knowledge resources.
- Support user adoption of new functionality and ways of working.
- Develop a culture of continuous improvement and knowledge sharing within the team.

Process, Governance & Documentation
- Establish and maintain comprehensive operational documentation, system procedures and standard operating processes.
- Ensure documentation remains current and supports business continuity.
- Develop process maps and governance frameworks for key timetabling activities.
- Support audit, compliance and risk management activities relating to timetabling systems and data.
- Promote best practice in operational controls and system management.

Quality Assurance & Continuous Improvement
- Lead quality assurance activities relating to timetabling systems and outputs.
- Monitor service performance and identify opportunities for improvement.
- Develop performance measures and quality standards for the timetabling function.
- Support business transformation initiatives and implementation of current technologies.
- Champion a culture of continuous improvement, innovation and service excellence.
Desired Profile
Qualification
- Bachelor's degree in a related field
- Overall, 8 - 12 years of experience
- Excellent oral and written communication
- Experience in higher education or a related field is preferred
Skills
Significant experience working within timetable, scheduling, student administration or related operational functions.
Experience administering complex business systems.
Experience producing management information and reports using Power BI or equivalent BI tools.
Knowledge of Power BI development and data modelling.
Experience developing operational processes, procedures and documentation.
Experience delivering user training and supporting system adoption.
Experience investigating and resolving data quality issues.
Understanding of system integration principles and data flows between enterprise systems.
Experience managing multiple priorities within a service-focused environment
Knowledge of process improvement methodologies.
Relevant
Experience
1 plus years of Work force Management experience
Experience direct or indirect of TimeEdit, Scientia, Celcat or comparable timetabling systems.
Experience working with student records systems.
Understanding of assessment scheduling and academic resource planning.
Experience supporting system implementation projects.
Experience within Higher Education.
