Job Description: General Manager – Hostels (Residential)

Position Overview

The General Manager – Hostels will be responsible for the overall administration, operations, discipline, safety, student welfare, facilities, and service delivery of the University's residential hostels.

The role requires a strong operational leader who can manage a large-scale residential campus, coordinate wardens and support teams, ensure high standards of student experience and safety, and maintain effective coordination with university administration, security, maintenance, housekeeping, mess, transport, and other support functions.

Key Responsibilities

1. Hostel Operations & Administration

- Overall responsibility for the day-to-day operations of all university hostels.
- Establish and maintain standardized hostel operating procedures and service standards.
- Ensure smooth functioning of accommodation, common areas, utilities, housekeeping, maintenance, and student services.
- Monitor occupancy, room allocation, check-in/check-out, transfers, and hostel records.

2. Student Welfare & Experience

- Ensure a secure, disciplined, supportive,



and student-friendly residential environment.
- Address student concerns, complaints, grievances, and accommodation-related issues promptly.
- Develop systems for student engagement, welfare, counselling coordination, and residential activities.

3. Mess & Food Services

- Monitor hostel mess operations and service quality.
- Coordinate with the Mess Department/vendor for food quality, hygiene, menu planning, and student feedback.
- Ensure compliance with food safety and hygiene standards.
- Review complaints and take corrective action in coordination with relevant departments.

4. Warden & Hostel Discipline & Compliance

- Lead and supervise Chief Wardens, Wardens, Assistant Wardens, Resident Supervisors, and hostel support teams.
- Monitor discipline and ensure compliance with university policies.
- Coordinate with wardens and security teams on disciplinary matters.
- Define responsibilities, work schedules, reporting mechanisms, and performance standards.
- Conduct regular reviews of hostel staff performance.
- Ensure adequate staffing and effective deployment across hostels.
- Organize regular meetings and training programmes for wardens and hostel personnel.

4. Safety & Security





- Ensure comprehensive safety and security arrangements across all hostels.
- Coordinate with the Security Department regarding access control, visitor management, CCTV surveillance, emergency response, and night security.
- Establish and periodically review emergency response procedures.
- Ensure preparedness for fire, medical emergencies, evacuation, and other incidents.
- Conduct regular safety inspections and identify potential risks.

Educational Qualification

- Bachelor's degree in any discipline.
- Master's degree / MBA / Hospitality Management / Hotel Management / Administration or equivalent qualification will be an advantage.

Experience

- 12–15+ years of relevant experience, preferably in hostel administration, residential campus management, hospitality, student accommodation, institutional administration, or large-scale facility operations.
- Proven experience managing large residential facilities with significant student/occupant strength.
- Experience managing multiple hostels or a large institutional campus will be preferred.
- Experience in a university, educational institution, residential campus, hospitality organization, defence establishment, or similar large-scale environment would be advantageous.
