About the RoleWe are looking for an experienced and organized Admin Executive to manage day-to-day administrative and office operations at The Visual House. The ideal candidate should have strong coordination and vendor management skills, be comfortable handling multiple responsibilities, and ensure smooth functioning of the office and employee-related administrative requirements.

Key ResponsibilitiesOffice Administration

- Manage day-to-day office administration and ensure smooth functioning of the workplace.
- Handle office supplies, stationery, pantry, housekeeping, security, and other facility requirements.
- Monitor office infrastructure, equipment, furniture, and maintenance requirements.
- Coordinate for repairs, maintenance, electrical, plumbing, internet, and other office-related issues.
- Maintain proper records of office assets, inventory, and administrative documents.

Vendor Management
- Coordinate with vendors and service providers for office requirements.
- Obtain quotations, negotiate rates, and coordinate purchase/service orders.
- Track vendor bills, payments, contracts, and service schedules.
- Ensure timely renewal of AMC, maintenance contracts, licenses, and other relevant agreements.
- Maintain a database of regular vendors and service providers.

Employee Support & • Coordination
- Handle administrative requirements related to employee onboarding and exit formalities.
- Coordinate seating, access cards, ID cards, workstation allocation, and other employee requirements.
- Support HR in organizing employee engagement activities, events, meetings, and internal sessions.




- Coordinate office communication and ensure employees are informed about relevant administrative updates.
- Assist in maintaining a professional and well-organized workplace environment.

Travel & • Logistics
- Coordinate travel, accommodation, transportation, and other logistics for employees, management, and visiting clients when required.
- Arrange cabs and local transportation for official meetings, shoots, events, and business requirements.
- Maintain records of travel and logistics-related expenses.

Asset & • Inventory Management
- Maintain records of company assets including laptops, equipment, furniture, and other office assets.
- Coordinate asset allocation, recovery, movement, and handover during employee joining and exit.
- Conduct periodic inventory checks and maintain updated records.
- Coordinate with relevant teams for repair or replacement of damaged assets.

Administrative Expenses & • Documentation
- Maintain administrative expense records and supporting documents.
- Coordinate submission and processing of vendor bills and office-related expenses.
- Prepare regular administrative reports and MIS as required.
- Maintain proper documentation of contracts, invoices, quotations, and other administrative records.

Events & • Office Activities
- Support planning and execution of office events, celebrations, meetings, and employee activities.
- Coordinate venue, catering, décor, transportation,



logistics, and other event requirements.
- Provide administrative support for client meetings, shoots, and important office visits.

Required Skills
- Strong administrative and organizational skills.
- Excellent vendor coordination and negotiation skills.
- Good communication and interpersonal skills.
- Strong follow-up and problem-solving abilities.
- Ability to independently manage multiple administrative responsibilities.
- Good knowledge of MS Excel, Word, Google Workspace, and basic office management tools.
- Strong documentation and record-keeping skills.
- Ability to coordinate effectively with employees, management, vendors, and service providers.
- Ability to work in a fast-paced creative agency environment.

Preferred Qualifications
- Bachelor's degree in Business Administration, Management, or a related field.
- Diploma/certification in Office Administration or Facility Management is an added advantage.

Preferred Experience
- 5–6 years of experience in administration, office management, facility management, or a similar role.
- Experience in an advertising agency, media, creative agency, corporate office, or similar fast-paced organization is preferred.
- Candidates with hands-on experience in vendor management, office facilities, employee coordination, assets, and administrative operations will be preferred.
