Healthcare Virtual Assistant – for U.S. Therapy PracticeLocation: Remote

Employment: Part-time / Contract

Client: U.S.-based Therapy Practice

We are looking for a reliable and experienced Healthcare Virtual Assistant to support a U.S.-based therapy practice with day-to-day administrative and patient coordination tasks.

The practice has an established workflow and SOPs. The selected VA will be expected to learn and follow these processes accurately and consistently.

Key Responsibilities

- Schedule, reschedule, and cancel patient appointments
- Manage and maintain the practice calendar
- Communicate with patients through email and phone
- Follow up with patients regarding appointments and administrative matters
- Prepare and send patient invoices
- Assist with Superbill preparation and related documentation
- Maintain accurate patient information and administrative records
- Complete routine front-desk and back-office administrative tasks
- Work within the practice's EHR/practice management system
- Follow established SOPs and maintain patient confidentiality

Requirements
- Previous experience in healthcare administration, medical virtual assistance, medical reception,



or a similar role
- Experience working with U.S.-based healthcare providers is strongly preferred
- Excellent written and spoken English
- Strong communication and customer-service skills
- Experience with patient scheduling and appointment coordination
- Experience using an EHR/EMR or healthcare practice management system
- Strong attention to detail and organizational skills
- Ability to work independently and follow established SOPs
- Understanding of patient privacy and HIPAA-related requirements

Preferred Experience
- Jane App / Jane Health
- Mental health or therapy practice experience
- U.S. healthcare administration
- Patient phone and email communication
- Superbill or medical invoice experience
- Telehealth practice experience
