About the Role

We are looking for a highly organised, proactive, and professional Property Operations & Client Services Executive to join our Mangalore-based operations team and support our UK property management business.

This is an important operational and client-facing role involving regular communication with UK-based clients, contractors, suppliers, and internal teams.

The successful candidate will be responsible for managing property-related requests from the point they are reported through to completion.

When a client reports an issue, you will review the request, understand what action is required, identify and assign the appropriate contractor, monitor the progress of the work, keep the client informed, and ensure that the matter is properly followed through to completion.

The role requires strong ownership, organisation, communication, and follow-up skills. We are looking for someone who does not simply pass a request to another person, but takes responsibility for ensuring that the matter continues to progress until an appropriate outcome is achieved.

You will also be responsible for maintaining accurate records and preparing weekly operational reports for management, providing a clear overview of client requests, contractor works, outstanding matters, delays, and issues requiring further attention.

Working Hours

- 1:30 PM – 10:30 PM IST
- 2:30 PM – 11:30 PM IST during UK daylight saving periods

The working hours are aligned with UK business hours to allow effective communication with our UK-based clients and contractors.

Key Responsibilities

Client Request Management

- Receive property-related issues, requests, and concerns reported by clients.
- Review each request carefully and understand the nature and urgency of the issue.
- Determine the appropriate action required.
- Request additional information, photographs, or details where necessary.
- Record all relevant information accurately in the company's systems.
- Take ownership of each request and ensure it continues to progress.
- Keep clients informed throughout the process.
- Ensure client requests are handled fairly, professionally, and within appropriate timescales.

Contractor Assignment & Coordination

- Identify the appropriate contractor or service provider for each job.
- Assign works based on the nature of the issue, location, urgency, and operational requirements.
- Provide contractors with clear information and instructions regarding the required works.
- Arrange contractor attendance and coordinate access where necessary.
- Confirm that contractors have received and accepted the job.
- Follow up with contractors regarding attendance and progress.
- Chase contractors where jobs are delayed or updates are not received.
- Obtain photographs, reports, invoices, quotations, and other relevant documentation.
- Confirm completion of works and ensure appropriate evidence has been provided.

Monitoring & Follow-Up

- Monitor all open jobs from initial instruction through to completion.
- Maintain an accurate record of outstanding, ongoing, and completed works.
- Proactively follow up on jobs that have not progressed within the expected timeframe.
- Identify delays and establish the reason for the delay.
- Escalate unresolved, urgent, or recurring issues when required.
- Ensure no client request is left unattended or without a clear status.
- Identify recurring issues or contractor performance concerns and report them to management.




- Ensure completed jobs are properly documented before they are closed.

Client Communication & Updates

- Provide clients with timely and professional updates regarding their requests.
- Confirm when a contractor has been assigned.
- Provide planned attendance dates and expected timescales where available.
- Keep clients updated on the progress of ongoing works.
- Communicate delays, changes, or issues clearly and professionally.
- Respond to client enquiries by telephone and email.
- Handle client concerns calmly and professionally.
- Ensure clients understand the current status and next steps for their request.
- Maintain a high standard of client service throughout the process.

Weekly Operational Reporting

A key responsibility of this role will be to prepare a weekly operational summary report for management.

The report should provide a clear overview of the week's activity, including:

- New client issues received.
- Issues reviewed and actioned.
- Contractors assigned.
- Contractor attendance.
- Works currently in progress.
- Works completed.
- Outstanding jobs.
- Delayed or overdue works.
- Jobs awaiting quotations or approval.
- Jobs awaiting contractor attendance.
- Jobs requiring further action.
- Client complaints or concerns.
- Recurring property issues.
- Contractor performance concerns.
- Urgent or high-priority matters.
- Key developments and updates during the week.

The objective is to ensure management has a clear and accurate overview of operational progress without needing to review every individual job separately.

Internal Team Coordination

- Work closely with property management, compliance, utilities, finance, and other internal teams.
- Share relevant information with the appropriate departments.
- Coordinate information required to progress property-related matters.
- Assist internal teams with obtaining updates from clients and contractors.
- Escalate matters requiring management approval or intervention.
- Maintain accurate records within CRM and internal systems.
- Support the wider operations team with day-to-day property-related requirements.

What We Are Looking For

We are looking for someone who is proactive, organised, responsible, and confident when dealing with different people.

The successful candidate should be comfortable managing multiple requests at the same time and taking responsibility for ensuring that each matter progresses.

For example, when a client reports a maintenance issue, you should be able to:

Review the issue → understand what is required → identify the appropriate contractor → assign the work → monitor progress → follow up with the contractor → update the client → obtain completion details → record the outcome → include the matter in the weekly report.

We are looking for someone who naturally takes ownership rather than waiting for others to chase or remind them.
