Job Summary
The Import Manager will be responsible for managing the complete import process, including vendor coordination, purchase orders, shipping, customs clearance, documentation, logistics, cost control, and timely receipt of imported materials. The role requires strong knowledge of import procedures, customs documentation, and coordination with suppliers, freight forwarders, customs agents, and internal departments.
Key Duties & Responsibilities
- Import Operations
- Manage the complete import cycle from purchase order to delivery at the warehouse.
- Coordinate with international suppliers for order confirmation, production, shipment, and delivery schedules.
- Track all import shipments and ensure timely delivery.
- Import Documentation
- Prepare and verify import documents such as Commercial Invoice, Packing List, Bill of Lading/Airway Bill, Certificate of Origin, Insurance documents, and other required documents.
- Ensure accuracy of documents before shipment and customs clearance.
- Maintain proper records of all import transactions.
- Customs Clearance
- Coordinate with Customs House Agents (CHA), freight forwarders, shipping lines, and customs authorities.
- Ensure timely filing and processing of customs clearance documentation.
- Monitor customs duties, taxes, and other import-related charges.
- Logistics Coordination
- Coordinate international and domestic transportation of imported goods.
- Monitor shipment status from supplier dispatch until warehouse delivery.
- Resolve delays, documentation issues, damages, and discrepancies.
- Cost Control
- Monitor freight, customs duty, clearance charges, transportation costs, and other import expenses.
- Compare freight and logistics quotations and negotiate with service providers where required.
- Maintain accurate landed-cost calculations.
- Vendor & Supplier Coordination
- Maintain qualified relationships with overseas suppliers.
- Follow up on pending orders, payment terms, shipment schedules, and documentation.
- Escalate supplier-related issues to management when required.
- Compliance
- Ensure imports are processed in accordance with applicable customs, taxation, and foreign-trade requirements.
- Coordinate with the accounts team regarding import payments, duties, and documentation.
- Ensure proper documentation for audit and compliance purposes.
- Inventory & Warehouse Coordination
- Coordinate with the warehouse team regarding expected shipments and delivery schedules.
- Ensure imported materials are received, verified, and properly recorded.
- Follow up on quantity or quality discrepancies between purchase orders and received goods.
Required Qualifications
- Bachelor's degree in Commerce, Supply Chain, Logistics, International Business, or a related field.
- 3–7 years of experience in import management, preferably in manufacturing, electronics, components, or trading companies.
- Good knowledge of import documentation and customs procedures.
- Knowledge of MS Excel, ERP/CRM systems, and import-related software.
- Good communication, negotiation, coordination, and follow-up skills.
