Chief Operating Officer – Roles & Responsibilities
1. Overall Operations Management
- Oversee the day-to-day operations of Tranquil Vacation and Nirvana Nature Healing Centre.
- Ensure smooth coordination between all departments and operational teams.
- Develop and implement operational policies, systems, SOPs and service standards.
- Monitor operational efficiency, productivity and quality of services.
- Ensure the organisation operates in line with its vision, values and business objectives.
2. Hospitality & Guest Experience
- Ensure excellent guest experience from booking/check-in to check-out.
- Monitor accommodation, housekeeping, food & beverage, transportation and guest services.
- Handle escalated guest complaints and ensure timely resolution.
- Establish service-quality standards and regularly review guest feedback.
- Develop systems to improve guest satisfaction, repeat visits and referrals.
3. Nirvana Nature Healing Centre Operations
- Oversee the smooth functioning of wellness, nature-healing, relaxation and rejuvenation programmes.
- Coordinate with wellness practitioners, therapists, instructors and other specialists.
- Ensure programmes are properly scheduled and delivered according to approved standards.
- Maintain a peaceful, secure, hygienic and professional setting for guests.
- Review guest feedback and continuously improve wellness programmes and services.
- Ensure all wellness-related activities are conducted by appropriately qualified professionals and within applicable regulations.
4. Team Management & HR Coordination
- Lead, supervise and motivate employees across departments.
- Define responsibilities, reporting structures and performance expectations.
- Participate in recruitment, induction, training and development of staff.
- Conduct regular performance reviews and identify training requirements.
- Promote discipline, teamwork, professionalism and a positive work culture.
- Prepare manpower requirements based on occupancy, bookings and operational needs.
5. Financial & Cost Management
- Work closely with Finance/Accounts to prepare and monitor operational budgets.
- Control operating expenses without compromising guest experience or service quality.
- Monitor revenue, occupancy,
average guest spending and departmental profitability.
- Review procurement costs, vendor pricing and inventory consumption.
- Identify opportunities to improve revenue and reduce unnecessary expenses.
- Ensure proper controls over cash, purchases, inventory and operational expenditure.
6. Sales & Business Development
- Work with the sales and marketing team to increase bookings and revenue.
- Develop packages for vacations, wellness retreats, corporate programmes and group bookings.
- Explore partnerships with travel companies, corporates, wellness organisations and other relevant partners.
- Monitor market trends and competitor offerings.
- Support development of new products, packages and experiences.
7. Marketing & Brand Development
- Coordinate with the marketing team on promotional campaigns and digital presence.
- Ensure consistent branding across Tranquil Vacation and Nirvana Nature Healing Centre.
- Monitor online reviews, social media engagement and customer feedback.
- Support content, promotional events and campaigns that generate bookings.
- Work with management to strengthen the brand positioning of both businesses.
8. Property & Facility Management
- Ensure proper maintenance of buildings, rooms, gardens, recreational areas and wellness facilities.
- Coordinate preventive maintenance and repairs.
- Monitor cleanliness, hygiene, landscaping, utilities and infrastructure.
- Ensure facilities are ready before guest arrival.
- Plan capital expenditure and facility improvements in consultation with management.
9. Procurement & Vendor Management
- Establish appropriate vendor-selection and procurement procedures.
- Negotiate with suppliers and service providers.
- Monitor quality, pricing and timely delivery of materials and services.
- Maintain approved vendor lists and evaluate vendor performance.
- Ensure adequate stock of food, housekeeping materials,
wellness supplies and other operational requirements.
10. Health, Safety & Compliance
- Ensure compliance with applicable laws, licences, regulations and local requirements.
- Implement health, hygiene, fire-safety and emergency procedures.
- Conduct regular safety inspections and risk assessments.
- Maintain appropriate records, permits and operational documentation.
- Ensure staff are trained in emergency response and safety procedures.
11. Technology & Systems
- Implement appropriate systems for reservations, customer records, billing, inventory and reporting.
- Improve operational efficiency through technology and automation.
- Monitor data accuracy and reporting.
- Ensure appropriate protection of guest and company information.
12. Performance Monitoring & Reporting
The COO should regularly report to the Managing Director/CEO/Board on:
- Revenue and profitability
- Occupancy and bookings
- Guest satisfaction
- Department-wise performance
- Employee productivity
- Operating expenses
- Inventory and procurement
- Marketing and sales performance
- Complaints and resolutions
- Maintenance and infrastructure
- Risks, compliance and safety matters
13. Strategic Planning
- Convert the company's strategic objectives into practical operating plans.
- Prepare annual and quarterly operational targets.
- Identify new revenue opportunities.
- Evaluate expansion opportunities and new services.
- Establish KPIs for every major department.
- Regularly review performance against targets and implement corrective actions.
14. Leadership & Management
- Act as the link between senior management and operational teams.
- Conduct regular management meetings.
- Ensure accountability at every level of the organisation.
- Build a culture focused on guest satisfaction, quality, discipline, efficiency and continuous improvement.
- Take timely decisions on operational issues while keeping senior management informed of significant matters.
