Assistant Accounts & Finance Manager - Automobile Industry

1. Job Purpose
The Assistant Accounts & Finance Manager will be responsible for managing day-to-day accounting operations, financial reporting, banking activities, statutory compliance, receivables/payables and financial controls across the automobile dealership, service workshop and bodyshop operations.
The role requires strong knowledge of automobile dealership accounting, GST, TDS, GST reconciliation, banking, vendor payments, customer collections and MIS reporting.
2. Key Responsibilities
A. Accounting & Finance Operations

- Supervise day-to-day accounting activities and ensure accurate and timely accounting entries.
- Review purchase, sales, expense, receipt and payment entries.
- Monitor General Ledger, Journal Entries, Cash Book and Bank Book.
- Ensure proper accounting of New Car Sales, Used Car Sales, Service, Bodyshop, Spare Parts and Accessories.
- Review inter-branch/inter-company transactions and reconciliations.
- Ensure proper accounting and control of dealer incentives, discounts, schemes and claims.

B. Accounts Receivable & Payable

- Monitor customer outstanding and collection schedules.
- Follow up with respective departments for overdue receivables.
- Review vendor outstanding and payment schedules.
- Verify vendor invoices, supporting documents and approvals before payment.
- Prepare weekly/monthly outstanding reports.
- Ensure timely settlement of vendor and customer-related accounts.

C. Banking & Cash Management

- Monitor daily bank transactions and bank balances.
- Prepare and review bank reconciliation statements.
- Coordinate NEFT/RTGS/IMPS and other payment transactions.
- Monitor daily cash collections and deposits.
- Maintain proper control over cash handling and petty cash.
- Prepare cash flow requirements and payment planning.

D. GST, TDS & Statutory Compliance

- Ensure timely and accurate GST return preparation and reconciliation.
- Review GSTR-1, GSTR-3B and related GST workings.
- Reconcile purchase data with GSTR-2B.
- Verify GST input tax credit and resolve discrepancies.
- Ensure TDS deduction,



accounting and payment within applicable timelines.
- Assist in preparation of TDS returns and certificates.
- Coordinate with consultants/auditors for statutory compliance, notices and assessments.
- Maintain proper statutory records and supporting documents.

E. MIS & Financial Reporting

- Prepare monthly financial and management reports.
- Prepare department-wise revenue and expense reports.
- Prepare P&L-related; MIS, outstanding reports, collection reports and expense analysis.
- Analyze actual expenses against budgets.
- Prepare branch-wise and department-wise performance reports.
- Provide financial data and analysis to management for decision-making.
- Identify unusual expenses, accounting discrepancies and variances.

F. Automobile Dealership Accounting
The candidate should be able to understand and monitor accounting related to:

- New vehicle sales
- Used vehicle sales
- Vehicle stock accounting
- Vehicle purchase and inventory
- Dealer incentives and OEM claims
- Workshop/service revenue
- Body shop revenue
- Spare parts inventory
- Accessories sales
- Customer advances
- Vehicle finance and insurance-related transactions
- Warranty claims and reimbursements
- Floor-plan/vehicle finance, where applicable
- Inter-branch vehicle transfers
- Stock reconciliation

G. Inventory & Stock Control

- Coordinate with Sales, Service, Parts and body shop departments for stock reconciliation.
- Review vehicle stock and spare-parts accounting.
- Monitor physical stock versus system records.
- Identify stock discrepancies and coordinate corrective action.
- Assist in periodic physical verification and audit.

H. Audit & Compliance

- Coordinate with internal and statutory auditors.
- Provide required schedules, ledgers, vouchers and supporting documents.
- Ensure proper documentation and audit trail.
- Assist in year-end closing and finalization of accounts.
- Follow company accounting policies and internal financial controls.

3. Team Coordination





- Supervise and guide Accounts Executives and other junior accounting staff.
- Coordinate with Sales, Service, Parts, Bodyshop, HR, Administration and Purchase departments.
- Ensure timely submission of departmental reports.
- Train team members regarding accounting procedures and internal controls.
- Escalate major financial discrepancies to the reporting manager.

4. Software & Technical Skills
Required:

- Strong knowledge of Tally / ERP / DMS / Accounting Software
- MS Excel - Pivot Tables, VLOOKUP/XLOOKUP, SUMIF/SUMIFS, reconciliation and MIS
- GST portal knowledge
- TDS compliance knowledge
- Banking portals and online payment systems
- Knowledge of automobile dealership management systems will be an advantage.

Candidates with experience in Automobile Dealerships, Hyundai/Maruti/Tata/Mahindra or other OEM dealerships, automotive workshops, bodyshops or service organizations will be preferred.
Experience in handling New Car Sales + Service + Bodyshop + Spare Parts accounts will be an added advantage.
