We are seeking an organized and detail-oriented Document Controller to oversee the intake, management, distribution, and archiving of our companys critical documentation. In this role, you will enforce strict version control, manage permissions within our Electronic Document Management System (EDMS), and ensure full compliance with regulatory and ISO standards. Your work will ensure all project teams have immediate access to accurate, up-to-date information.

Key Responsibilities

Document Lifecycle & Workflow Management

- Log, track, and archive technical drawings, contracts, SOPs, engineering change orders, and project reports.
- Route incoming and outgoing documentation to proper stakeholders for review, approval, and sign-off.
- Enforce standardized naming conventions, metadata tagging, and document numbering protocols.

System Administration & Security





- Administer user access levels and permissions within the EDMS (e.g., SharePoint, Aconex, BIM 360).
- Maintain strict version control to retire obsolete documents and prevent unauthorized edits.
- Ensure data security, confidential document handling, and secure long-term archiving.

Quality, Compliance & Audits

- Conduct regular document audits to ensure alignment with ISO 9001 quality management standards.
- Prepare comprehensive document packages and registers for internal and external audits.
- Train staff on document control procedures, filing standards, and system workflows.

Qualifications & Requirements

- Experience: 3+ years of experience in document control, records management, or a related administrative role.
- Education: Associate’s or Bachelor’s degree preferred (or equivalent practical experience).
