About the Role:

Beatit Entertainment is looking for a Manager / Executive – Tender Costing & Vendor Management to handle tender costing, BOQ preparation, vendor sourcing, negotiations, and procurement for our events, sports, entertainment, and corporate projects .

Key Responsibilities:

Study tender documents, scope of work, and technical requirements and prepare accurate BOQs and cost estimates .
Coordinate with Operations, Production, Creative, and BD teams to gather costing inputs.
Source and coordinate with vendors for fabrication, branding, LED, sound, lighting, AV, logistics, manpower, and other event requirements .
Obtain and compare vendor quotations and negotiate competitive rates and commercial terms.
Maintain and update a strong vendor database and rate records .
Monitor procurement costs against approved budgets and identify cost-saving opportunities.
Coordinate with vendors to ensure timely delivery, quality, and project requirements.




Identify and resolve vendor-related issues during project execution.
Ensure tender submissions and commercial documents are accurate, compliant, and submitted within deadlines.

Requirements:

Graduate/Diploma in Business Administration, Procurement, Supply Chain, Event Management, or related field .
4–6+ years of relevant experience in tender costing, procurement, vendor management, or event production.
Prior experience in an Event Management, Exhibition, Production, or Experiential Agency preferred.
Robust knowledge of event production costing, BOQs, vendor sourcing, and rate analysis .
Proficiency in MS Excel and cost analysis.
Strong negotiation, analytical, and vendor management skills.
Ability to manage multiple projects and work under tight deadlines.

Preffered:

Experience with government/PSU/corporate tenders .
Knowledge of fabrication, branding, LED, lighting, sound, stage, logistics, and other event production elements.
Existing vendor network in Delhi/NCR will be an advantage.
