Reporting To: General Manager / Director / Plant Head Job Purpose To manage and control the complete purchase and material planning activities to ensure timely availability of APIs, excipients, packing materials, consumables, and other materials required for uninterrupted pharmaceutical manufacturing, while maintaining optimum inventory levels and controlling procurement costs. Key Responsibilities 1. Material Planning Prepare material requirement plans based on production schedules, sales forecasts, and BOM. Ensure timely availability of raw materials and packing materials. Coordinate with Production, Warehouse, QA, QC, Finance, and Sales teams. Monitor material shortages and take corrective action. Ensure planning adherence as per production requirements. 2. Purchase Management Manage procurement of APIs, excipients, packaging materials, consumables, and engineering items. Obtain quotations, prepare comparative statements, and negotiate prices and commercial terms. Issue and monitor Purchase Orders. Ensure timely delivery against open POs. Develop and maintain reliable supplier relationships. Identify opportunities for purchase cost savings. 3. Vendor Management Coordinate with QA for vendor qualification and approval. Evaluate supplier performance based on quality, price, and delivery. Develop alternate sources for critical materials. Resolve supplier-related issues, delays, and quality concerns. Maintain strong and reliable vendor relationships. 4. Inventory Management Maintain optimum inventory levels and appropriate safety stock. Monitor slow-moving, non-moving, excess, and obsolete inventory. Coordinate with the Warehouse team for stock reconciliation.



Minimize inventory carrying costs without affecting production. Monitor stock levels and proactively address potential shortages. 5. Pharmaceutical Compliance Ensure procurement is carried out only from approved/qualified vendors. Maintain required purchase and vendor documentation. Ensure compliance with applicable GMP, Schedule M, SOPs, and company quality systems. Maintain proper traceability and documentation of purchased materials. 6. Artwork Coordination Coordinate artwork activities between customers, QC, and the artwork agency. Ensure timely artwork approvals and revisions. Follow up with relevant stakeholders to ensure artwork is completed as per requirements and timelines. 7. Team Management Lead and supervise the Purchase & Planning team. Allocate responsibilities and monitor team performance. Establish departmental KPIs and ensure achievement. Improve procurement, planning, and material management processes. Coordinate effectively with cross-functional departments. MBA/PGDM in Supply Chain, Operations, or Procurement will be an advantage. Experience 3–7 years of relevant experience in pharmaceutical manufacturing. Experience in Purchase, PPC/PPMC, Material Planning, Procurement, or Material Management is preferred. Candidates with hands-on experience in pharmaceutical raw material and packaging material procurement will be preferred.
