- The Export Executive will be responsible for managing export documentation, coordinating shipments with freight forwarders, handling banking and regulatory documentation, and ensuring smooth execution of export orders.
1. Export Documentation
- Prepare and handle all export-related documentation.
- Prepare Commercial Invoices, IGST Invoices, Packing Lists, Purchase Orders (POs), Proforma Invoices (PIs), and Value Declarations.
- Handle documentation for C&F; and FOB shipments.
- Maintain accurate records of all export documentation.
2. Shipment & Freight Forwarder Coordination
- Coordinate with freight forwarders for sea and air shipments.
- Place bookings for export shipments.
- Check shipment checklists and provide necessary approvals.
- Send required documents for customs clearance.
- Coordinate vehicle arrangements for shipments.
- Provide approvals for Bill of Lading (B/L) and Air Waybill (AWB).
- Follow up with freight forwarders regarding vessel schedules, arrivals and departures.
- Handle queries related to vessel arrival, departure and shipment status.
- Approve tax invoices received from freight forwarders and coordinate with the accounts team regarding payments.
3. Regulatory & Export Compliance
- Prepare and obtain Bombay Chamber of Commerce certificates.
- Handle renewals related to the Textile Committee.
- Obtain BRCs (Bank Realisation Certificates) from DGFT.
- Follow up with the bank regarding Duty Drawback and RoSCTL matters.
- Check and monitor Shipping Bill status through ICEGATE.
4. Banking & Financial Documentation
- Handle export-related banking activities.
- Coordinate and follow up with banks regarding inward payments and export proceeds.
- Prepare annexures required for closure of shipping bills.
- Maintain records of submitted annexures.
- Handle and resolve queries related to shipping bills.
- Coordinate with banks regarding required credits and documentation.
5. Internal Coordination
- Coordinate with the merchandising team regarding shipment schedules and requirements.
- Follow up with merchandisers to ensure shipments are completed on time.
- Handle queries from international buyers regarding shipments.
- Maintain the Export House Statement.
- Maintain systematic records of export transactions and documentation.
6. Other Responsibilities
- Handle cash currencies and card loading as required for business purposes.
- Ensure timely completion of export-related formalities.
- Monitor shipment documentation and follow up with concerned departments to avoid delays.
The ideal candidate should have:
- Good knowledge of export documentation and procedures.
- Understanding of garment exports and international shipments.
- Experience in handling Sea and Air shipments.
- Knowledge of FOB and C&F; shipments.
- Familiarity with customs clearance and ICEGATE.
- Knowledge of export-related banking procedures.
- Understanding of BRC, DGFT, Duty Drawback and RoSCTL processes.
- Good coordination and follow-up skills.
- Strong communication skills, particularly in English.
- Ability to coordinate effectively with freight forwarders, banks, buyers, merchandisers and internal teams.
- Valuable documentation and record-maintenance skills.
- Attention to detail and ability to manage multiple export shipments simultaneously.
- Ability to work within deadlines and follow up proactively.
Minimum Qualification:
- B.Com / Bachelor's Degree
- Good English-speaking and communication skills.
