We have an exciting opportunity for a Trade Support / Warehousing Management specialist to join our Trade Support team within our sugar Business unit. The Trade Support / Warehousing Management Specialist’s mandate is to deliver post execution services to the global sugar trading team, managing stocks held in third party warehouses, ensuring accuracy of stock reporting and stock related transactions, whilst ensuring adherence to internal controls and policies.
This role requires a high level of organisational skills, attention to detail, and the ability to handle a wide range of tasks with discretion and professionalism. The role reports to the Regional Trade Support / Operations Manager.
You will collaborate with trading, finance, documents, risk, Insurance and compliance teams and be in direct contact with warehouse keepers, service providers, stevedores, transport companies, and supervision companies/surveyors, to ensure smooth operations.
Responsibilities:
Your key tasks and responsibilities may include but are not limited to:
· Stock Management
§ Working as a member of the broader trade support team to provide a proactive, dedicated stock management service to the global sugar trading business unit.
§ Co-ordinate inspections by independent third parties of warehouse facilities. Develop remedial plans for issues arising from inspections.
§ Prepare/negotiate collateral managers/warehouse operators’ contracts, ensuring that scope of services and business terms are in-line with company policy.
§ Perform KYC checks on Warehouse Keepers & service providers to obtain approval from Group Compliance
§ Pre-storage preparation – Liaise with Warehouse Keepers to check space availability for recent vessels arriving. Liaise with Femis (Inhouse chartering post fixture team) to co-ordinate vessel discharge formalities with vessel agents, discharge port rotation, allocation of brands and empty bags per receiver if multi-discharge port.
§ Liaise with collateral managers/warehouse operators to ensure scope of services are understood and complied with, and any remediation activity is closed.
§ Ensure management of stock is in-line with company policy and that stocks are always within Group Risk Country stock risk approval limits & insurance limits.
§ Daily/weekly reconciliation of stock reports to Trading system. Investigating stock variances and reporting findings to Trade Support Manager.
§ Processing stock releases to buyers. Monitoring that clients remain within exposure limits.
§ Updating the Trading system records - booking in stock/stock adjustments.
§ Processing and posting of warehousing /collateral management invoices for payment.
§ Providing monthly stock reporting and Warehouse Insurance declarations.
§ Organising tri-annual stocktake audits.
§ Analyse and review slow moving inventory on a monthly basis.
· Contract Admin
- Providing support in management of ED&F; Man Contracts Admin mailbox
- Checking contract documentation/business confirmations to ITAS CONTRACT/TRADE record within 48 hours of date of contract
- Uploading scanned copies of contracts + Business confirmations to ITAS (DOCMAN)
- Recording ‘contracts issued’, ’contracts returned’ & ‘contracts checked’ dates on ITAS
· Position keeping Admin
- Monthly review & investigation of physical unshipped/undelivered balances/write offs / washouts.
- Monthly preparation & circulation of “Contracts with Expired Shipment Periods” to Traders & Heads of Trading report.
· Provide cover and support for other Trade Support specialists during busy times and for annual leave.
Skills and Experience:
- 2-3 years relevant professional experience in an administrative role
within a commodity trading environment, can be substituted if applicable.
- A keen interest in exploring an Operations career within commodity trading
- Proven analytical skills, problem solving ability paired with meticulous attention to detail.
- Self-motivated and proactive team player who takes ownership and accountability of projects while managing competing priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
· Must be numerate and have excellent written communication skills
- Excellent organisational and multitasking skills.
- Ability to work independently and as part of a team.
- Significant level of maturity and the ability to work under pressure, and to time critical deadlines.
- Ability to communicate clearly and confidently at all levels, and concisely express issues of a complex nature
