Clairvolex is an AI-native intellectual property company built on a simple conviction: in IP, machines accelerate and experts decide. We partner with the in-house IP teams of large US and European corporations to develop and manage their patent and trademark portfolios, and serve as an extended arm to global law firms in drafting and prosecution.

We invoice enterprise clients and law firms across the US, Europe and Asia in multiple currencies, through a group structure spanning more than one entity. The finance function is small, close to the business, and being built out as the company scales.

Role Description

This role owns the controllership line end to end. Day-to-day financial operations, accuracy and timeliness of the books, internal financial controls, statutory and tax compliance, regulatory filings, and the management of every audit.

Two people report into this role, one on receivables and one on payables, and between them they carry the transactional finance work. This role runs that team, sets the controls they work within, and is accountable for what the books say.

The role reports to the Head of Finance and Accounts. The person in it holds the day-to-day, carries the institutional knowledge of how the books and the controls work, and is the point of contact for auditors, tax consultants and the business.

This is a hands-on role. With a team of two, the person in it reviews and also does.

Business finance, covering budgeting, forecasting and commercial analysis, is out of scope for this role. The role does, however, run a governance check over business finance reports and MIS before they are issued.

Key Responsibilities

Financial accounting and reporting

- Own month-end, quarter-end and year-end close, delivered accurately and to schedule.
- Prepare and present the financial statements, covering income statement, balance sheet and cash flow.
- Maintain books of accounts, monthly accruals, trial balance review, reconciliations and accounts finalization.
- Own consolidation across group entities and the accounting treatment for multi-currency transactions, including revaluation and translation.
- Produce and review the monthly MIS pack for the Head of Finance and Accounts and the leadership team, and answer for what it shows.

Operations and team

- Run the daily finance operation through the receivables and payables team, holding standards on accuracy, turnaround and documentation.
- Own the receivables cycle, covering invoicing accuracy, collections discipline, ageing review,



provisioning and escalation where accounts run past terms.
- Own the payables cycle, covering vendor onboarding, approvals, payment runs and vendor reconciliation.
- Manage banking, cash and treasury administration, foreign inward remittances and the documentation that goes with them.
- Set the work plan for the team, review their output, build their capability, and make sure the function does not depend on any single person.

Controls and governance

- Design, implement and maintain internal financial controls that protect company assets and the integrity of financial data.
- Document the finance process: delegation of authority, approval matrices, standard operating procedures and segregation of duties.
- Identify financial and operational risk, raise it early, and close what audits and reviews surface.
- Improve systems and processes so the function scales without adding headcount in proportion.

Statutory, tax and compliance

- Own direct and indirect tax compliance, covering GST, TDS, advance tax, income tax returns and assessments.
- Manage transfer pricing documentation and compliance across group entities, working with external advisors.
- Handle corporate and secretarial compliance, including Companies Act and ROC filings, with the company secretary.
- Manage cross-border compliance on export of services, including FIRC, SOFTEX and applicable RBI and FEMA requirements.
- Keep the company compliant with applicable accounting standards, regulation and internal policy, and track changes that affect us.

Audit

- Own the relationship with statutory auditors, internal auditors and tax consultants, from planning through to sign-off.
- Prepare audit schedules, respond to queries directly, and close observations within agreed timelines.
- Support client, group and regulatory information requests where finance is involved.

Stakeholders

- Work with the Head of Finance and Accounts on technical positions, reporting and the development of the function.
- Support the business on invoicing, client billing queries, vendor matters and commercial documentation.
- Present clearly to leadership, and hold a position in front of auditors and advisors with the reasoning behind it.

Qualifications and Experience

- Chartered Accountant,



cleared within a maximum of two attempts.
- 5 to 8 years of post-qualification experience. Article-ship years are not counted.
- Experience gained in a finance team of roughly five to twenty-five people, where you saw the whole of the close rather than one process inside it.
- At least two years running a controllership function, or a substantial part of one, with people reporting in.
- Hands-on experience with multi-entity and multi-currency accounting.
- Experience managing statutory and internal audits end to end.
- Experience in B2B services, SaaS or technology is preferred. Exposure to US or European clients is an advantage.
- Working knowledge of an ERP and associated finance systems, with the ability to improve how they are used rather than only operate them.

What matters more than years We are looking for breadth. Someone who has done the whole of the controllership job rather than one part of it very well.

Company size shapes that more than the year count does. A Chartered Accountant with five years in a small or mid-size finance team has usually closed the books alone, filed the returns, handled the notices and faced the statutory auditor personally.

A Chartered Accountant with eight years inside a large finance department has often owned one process within a much bigger machine, with specialists on either side, and has never seen the close from end to end. "This role needs the first kind".

Core Competencies

- Depth in end-to-end controllership, with the judgment to know which controls matter and which only create work.
- A doer. Comfortable reviewing the team’s work and also preparing a schedule, a reconciliation or a return when it needs doing.
- Confidence and clarity in front of auditors, advisors, clients and senior management, including the ability to hold a position and explain the basis for it.
- Solid technical grounding in Indian accounting standards, direct and indirect tax, and corporate regulatory compliance.
- Process discipline and attention to detail, with the instinct to fix a process rather than repeat a correction.
- Able to manage and develop a small team, and to raise the standard of work coming out of it.
- Clear written and spoken communication across departments and geographies.
- Comfortable in a company that is scaling, where the process often has to be built rather than followed.
