Senior Executive – Quality & Documentation

Role Overview
We are seeking a detail-oriented professional with strong knowledge of the skill development and assessment industry to manage quality monitoring, documentation and reporting. The role includes preparing accurate reports for external stakeholders and internal teams, monitoring process compliance, and supporting EOI, tender and presentation preparation.
Key Responsibilities
1. Quality Assurance & Process Monitoring
- Monitor assessment and operational processes to ensure adherence to applicable guidelines, client requirements and internal SOPs.
- Review assessment records, supporting evidence and documentation for accuracy, completeness and consistency.
- Identify process gaps, discrepancies and quality concerns; coordinate corrective actions and track closure.
- Support internal audits, external reviews and continuous process improvement.
2. Documentation & Record Management
- Maintain organised, updated and audit-ready records of assessments, projects and stakeholder communications.
- Verify documents received from assessors, training partners and internal teams, and follow up on missing or incorrect information.
- Prepare and update SOPs, checklists, templates and document trackers.
- Ensure proper version control,
confidentiality and timely retrieval of records.
3. External & Internal Reporting
- Prepare, validate and submit reports to Sector Skill Councils, awarding bodies, clients and other stakeholders within prescribed timelines.
- Prepare internal MIS reports, quality dashboards, progress summaries and exception reports for management.
- Reconcile data across source records and reporting formats before submission.
- Coordinate with relevant departments to obtain accurate inputs and resolve reporting discrepancies.
4. EOI, Tender & Proposal Support
- Identify and review relevant Expressions of Interest (EOIs), tenders and empanelment opportunities.
- Review eligibility criteria, documentation requirements and submission deadlines.
- Prepare application documents, company profiles, technical proposals and supporting annexures.
- Coordinate with management, finance and operations teams for required inputs and approvals.
- Track submissions, clarifications and follow-up requirements.
5. Presentations & Stakeholder Coordination
- Prepare qualified presentations for client meetings, project reviews, proposals and management discussions.
- Coordinate with internal teams and external stakeholders on documentation, reporting and quality requirements.
- Maintain clear communication and follow up to ensure timely completion of assigned activities.
Required Knowledge & Skills
- Strong understanding of the Indian skill development ecosystem, including assessment agencies, training partners, Sector Skill Councils and awarding bodies.
- Working knowledge of NCVET, NSDC, NSQF and relevant assessment and documentation requirements.
- Strong proficiency in Microsoft Excel, including formulas, lookup functions, PivotTables, data validation, charts and MIS preparation.
- Proficiency in Microsoft Word, PowerPoint, Google Workspace and PDF tools.
- Ability to prepare professional reports, proposals, presentations and formal correspondence.
- Strong analytical skills, attention to detail, ownership and ability to manage multiple deadlines.
Qualifications & Experience
- Graduate in any discipline; a postgraduate qualification is an advantage.
- Preferably 3–5 years of relevant experience in quality assurance, documentation, reporting or assessment operations within the skill development industry.
- Hands-on experience in EOI, tender or empanelment documentation is preferred.
Key Performance Indicators
- Accuracy and timely submission of internal and external reports.
- Completeness and audit readiness of documentation.
- Timely identification and closure of quality observations.
- Timely, complete and compliant EOI and tender submissions.
- Reduction in documentation errors, reporting discrepancies and repeated process gaps.
Pay: ₹20,000.00 - ₹25,000.00 per month
