We are hiring for Senior Conference Producer at leading International Edtech & AI consulting - BKC Mumbai.

- Working days- Mon - Saturday.
- Shift Time- 11,00 AM To 8.00 PM.
- Permanent role.
- Location Mumbai (BKC), with travel across Bengaluru, Coimbatore, Pune & Mumbai

Role Overview The Conference Producer is the execution engine behind the content programme turning the Senior Conference Producer's editorial vision into confirmed speakers, briefed panelists, and a content calendar that never runs dry. This is a hands-on, detail-obsessed role for someone who thrives on outreach, coordination, and getting the small things right so events run without surprises.

Key Responsibilities

- Execute speaker outreach at volume sourcing, cold-approaching, and following up with CXOs, experts, and thought leaders across target sectors
- Prepare detailed speaker briefing documents covering session objectives, audience profile, key talking points, and format expectations
- Maintain and update the rolling content calendar across all event formats, flagging gaps early enough for the Senior Conference Producer to act
- Coordinate speaker logistics — confirmations, travel/venue details, rehearsal calls, and day-of green-room management
- Draft session abstracts, panel descriptions, and moderator question banks in collaboration with the content lead




- Track speaker commitments in the CRM/database in coordination with the Database Lead, ensuring no relationship goes cold
- Support post-event wrap-up — thank-you communication, feedback collection, and speaker re-engagement for future formats
- Liaise with the Creative Designer to ensure speaker bios, photos, and session collateral are accurate and delivered on time
- Assist the Senior Conference Producer in advisory board and speaker-selection documentation

What We're Looking For

- 4-8 years in event production, content coordination, or talent/speaker management
- Excellent written communication — briefing documents and outreach emails need to land with senior executives
- Highly organized, comfortable owning multiple parallel outreach threads and calendars without dropping details
- Working knowledge of CRM tools and comfort with structured pipeline tracking
- A proactive, follow-through-obsessed working style

Success Looks Like (KPIs)

- Speaker confirmation turnaround time and outreach-to-confirmation ratio
- Briefing document quality and speaker readiness on event day
- Content calendar completeness (no unfilled slots inside the planning window)
- Speaker re-booking rate for future events
