Job Summary

We are looking for a responsible and organized Purchase Executive to manage the procurement of medical, pharmaceutical, laboratory, office, housekeeping and other operational requirements of the hospital. The candidate will coordinate with departments, suppliers and management to ensure timely availability of quality materials at competitive prices.

Key Responsibilities

- Receive and verify purchase requisitions from different departments.
- Identify suitable suppliers and obtain quotations for required materials.
- Compare quotations based on price, quality, delivery time and payment terms.
- Prepare Purchase Orders (PO) after management approval.
- Coordinate with vendors regarding order confirmation and delivery schedules.
- Follow up with suppliers to ensure timely delivery of materials.
- Maintain vendor details, quotations, purchase orders and invoices.
- Coordinate with the Stores/Inventory team for material receipt and verification.
- Ensure purchased materials meet the required quality and specifications.
- Negotiate prices, credit terms and delivery conditions with suppliers.
- Monitor stock levels and coordinate with departments to avoid shortages.
- Maintain proper purchase records and prepare periodic purchase reports.
- Coordinate with Accounts regarding invoices,



payments and outstanding vendor balances.
- Develop and maintain good relationships with approved vendors.
- Identify alternative vendors when required to ensure uninterrupted supply.
- Ensure purchases are made within the approved budget.
- Handle procurement of medical consumables, laboratory items, office supplies, housekeeping materials and other hospital requirements.
- Maintain confidentiality and follow hospital procurement procedures.
- Complete assigned purchase activities within the required timelines.

Required Skills
- Good negotiation and vendor management skills.
- Strong communication and coordination skills.
- Basic knowledge of procurement and inventory management.
- Good knowledge of MS Excel and MS Office.
- Ability to compare quotations and analyze prices.
- Good record-keeping and documentation skills.
- Ability to work under deadlines.
- Attention to detail and cost-conscious approach.

Qualification & Experience
- Any Bachelor's Degree / MBA / Supply Chain or related qualification.
- 1–3 years of experience in Purchase/Procurement is preferred.
- Experience in a hospital, healthcare or medical environment will be an added advantage.
