Responsibilities:
- Coordinate and monitor collaborative research projects with national and international institutions, ensuring timely completion of milestones and deliverables.
- Manage end-to-end project documentation, including proposals, budgets, project trackers, progress reports, agreements, and funding records.
- Coordinate with Principal Investigators, scientists, collaborators, finance, legal teams, and institutional representatives for project-related activities.
- Review project proposals and submissions for technical clarity, timelines, budgets, deliverables, and compliance requirements.
- Monitor project progress, budgets, manpower, procurement, deliverables, risks, and timelines, and highlight gaps or delays to management.
- Prepare project evaluation reports, review presentations, meeting notes, recommendations, and action trackers for management and advisory committees.
- Coordinate funding-related activities, including fund release documentation, continuation proposals, revised budgets, and utilization tracking.
- Coordinate the preparation and execution of MoUs, project agreements, and collaboration agreements in consultation with legal, finance, and institutional teams.
- Support and coordinate Governing Council, Executive Committee, Management Committee, and Scientific Advisory Committee meetings, including agendas, presentations, minutes, and action-point tracking.
- Facilitate national and international collaboration meetings and support the development of new research partnerships.
- Lead the coordination and preparation of the SKAN Annual Report, including collection, compilation, review, editing, and publication of scientific,
financial, and institutional information.
- Support annual and long-term budget planning by consolidating budget projections from various scientific and functional teams.
- Coordinate with finance teams on project budgets, expenditure tracking, budget revisions, and financial reporting.
- Prepare and refine institutional reports, concept notes, presentations, official communications, and scientific/project summaries.
- Maintain accurate and organized records of projects, agreements, meetings, budgets, approvals, reports, and institutional communications.
- Coordinate with IT, infrastructure, and external vendors for research infrastructure, digital systems, software requirements, and facility-related initiatives.
- Support senior management in project reviews, strategic planning, decision-making, and institutional initiatives.
Required Skills:
- Five or more years of experience in an administrative role in management of scientific projects.
- Excellent written and verbal communication skills (knowledge of local language will be preferred).
- Robust time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with MS office and the tools for conducting online meetings, should be proficient at making presentations. Have an aptitude to learn new software and technologies.
- Flexible team player, willing to adapt to changes and open to challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
- Ability to coordinate with scientists, senior leadership, external institutions, and cross-functional teams
