Position: Plant & Machinery Coordinator

Primary Location: Site (various locations across India)

Role & Technical Responsibilities:

- Responsible for planning, coordination, and management of plant & machinery

requirements for EPC/EPCM projects as per project schedule and methodology.
- Prepare equipment deployment plans in line with construction sequencing and site

execution requirements.
- Coordinate with project, client, and contractors for timely mobilization and demobilization

of machinery as per site needs.
- Maintain and update inventory of all equipment including hired and company-owned

machinery.
- Monitor daily equipment operations including running hours, fuel consumption, utilization,

and productivity.
- Ensure operators follow standard operating procedures (SOPs) and safe operating

practices.
- Verify equipment logbooks, running hours, and utilization reports for accuracy and

compliance.
- Conduct regular site visits to monitor equipment performance, condition, and operational

efficiency.
- Ensure compliance with contractual terms and conditions for hired equipment.
- Ensure all machinery complies with statutory requirements such as RTO registration, PUC,

fitness certificates, and insurance.
- Conduct regular safety inspections of equipment and ensure adherence to HSE standards.
- Verify operator licenses, certifications, and training records to ensure compliance with

statutory and safety requirements.




- Promote adherence to safety procedures and maintain a zero-accident culture at site.
- Prepare daily, weekly, and monthly equipment performance and utilization reports.
- Maintain proper documentation including digital and physical records of all machinery and

related activities.
- Coordinate preventive and corrective maintenance activities with site maintenance teams.
- Ensure adherence to OEM recommendations and scheduled maintenance practices.
- Monitor equipment breakdowns and coordinate timely resolution to minimize downtime.
- Maintain records of service history, spare parts consumption, and maintenance costs.

- Coordinate with vendors and suppliers for spare parts, consumables, and external repair

services.
- Evaluate, negotiate, and manage equipment hire vendors for cost-effective deployment.
- Track and analyze key performance indicators (KPIs) such as utilization, availability, idle

time, downtime, and cost per operating hour.
- Coordinate with construction and planning teams to ensure availability of machinery at

required work fronts.
- Support in resource planning and optimization of equipment usage across project

activities.
- Ensure smooth coordination with cross-functional teams for efficient project execution.

Requirements




- Qualification Bachelor of Engineering (Mechanical/Civil) or Diploma in Mechanical/Civil Engineering with relevant experience
- Experience in plant & machinery coordination for Oil & Gas / Refinery / Petrochemical / Industrial projects
- Strong understanding of construction equipment, machinery operations, and deployment planning
- Knowledge of equipment utilization tracking, fuel monitoring, and productivity analysis
- Familiarity with statutory compliance requirements (RTO, PUC, insurance, fitness certification)
- Understanding of preventive and breakdown maintenance practices and OEM guidelines
- Experience in vendor management, equipment hiring, and contract compliance
- Knowledge of construction sequencing, resource planning, and site execution requirements
- Understanding of HSE requirements and safety compliance related to equipment operations
- Robust documentation, reporting, and data analysis skills
- Proficiency in MS Excel and standard office tools for reporting and tracking
- Good communication and coordination skills with client, contractor, vendors, and internal teams
- Ability to manage operators, contractors, and multiple equipment resources effectively
- Problem-solving mindset with focus on minimizing downtime and improving efficiency
- Ability to work in dynamic project environments and travel to multiple sites if required
