Role & responsibilities

IPD MANAGER

Position Details

- Designation: IPD Manager
- Department: In-Patient Department (IPD)
- Location: Hospital
- Reporting To: Unit Head / Medical Superintendent / Hospital Administrator
- Experience: 5–10 years of relevant hospital experience
- Qualification: Graduate/Postgraduate in Hospital Administration, Healthcare Management, Nursing, or a related field

Job Purpose To oversee and manage the day-to-day operations of the In-Patient Department, ensuring efficient patient flow, timely admissions and discharges, coordination among clinical and non-clinical departments, and delivery of a smooth and patient-centric hospital experience.

Key Responsibilities

1. IPD Operations

- Manage the overall functioning of the IPD and ensure smooth daily operations.
- Monitor bed occupancy, bed availability, admissions, transfers, and discharges.
- Ensure effective utilization of available beds and timely allocation of rooms/beds.
- Coordinate with nursing, doctors, billing, insurance/TPA, pharmacy, diagnostics, housekeeping, and other support departments.
- Monitor delays in admission, transfer, discharge, investigations, and procedures and ensure timely resolution.

2. Patient Flow & Discharge Management

- Monitor the complete patient journey from admission to discharge.
- Ensure timely preparation and processing of discharge summaries and bills.
- Coordinate with consultants and nursing teams for timely discharge clearance.
- Identify and minimize discharge delays and patient waiting time.
- Handle escalated patient concerns related to IPD services.

3. Bed Management

- Maintain real-time information on bed availability and occupancy.
- Coordinate bed allocation with the concerned departments.
- Monitor occupancy trends and support effective bed utilization.
- Coordinate inter-unit/inter-department patient transfers as required.

4. Coordination & Communication





- Act as a key coordination point between patients, attendants, doctors, nursing staff, and hospital departments.
- Coordinate with consultants regarding admissions, procedures, transfers, and discharges.
- Work closely with TPA/Insurance, Billing, Medical Records, Pharmacy, Diagnostics, and Front Office teams.
- Escalate operational issues to the appropriate authority and ensure timely closure.

5. Patient Experience

- Ensure a positive and patient-centric experience for IPD patients and attendants.
- Address patient/attendant complaints and coordinate appropriate resolution.
- Monitor service quality and identify areas for improvement.
- Ensure adherence to hospital policies and service standards.

6. Revenue & Billing Coordination

- Coordinate with billing and TPA teams to minimize billing and authorization delays.
- Monitor pending approvals, documentation, and insurance/TPA requirements.
- Support timely completion of billing and discharge formalities.
- Track and escalate long-pending cases.

7. Quality & Compliance

- Ensure compliance with hospital SOPs, policies, and applicable quality standards.
- Support NABH-related processes, audits, documentation, and compliance activities.
- Maintain required IPD records and operational reports.
- Participate in quality improvement initiatives and corrective action plans.

8. MIS & Reporting

- Prepare and review regular IPD operational reports.
- Monitor key indicators such as:

- Bed occupancy

- Admissions and discharges
- Average Length of Stay (ALOS)

- Discharge turnaround time





- Bed utilization

- Pending discharges

- Patient complaints

- TPA/Insurance pending cases
- Present operational updates and concerns to management.

9. Team Management

- Coordinate with IPD-related staff and ensure adequate manpower deployment.
- Monitor staff attendance, discipline, performance, and productivity.
- Identify training requirements and support staff development.
- Ensure effective communication and coordination within the team.

- Bed occupancy and utilization
- Reduction in discharge turnaround time
- Reduction in admission/bed allocation delays
- Patient satisfaction and complaint resolution
- Timely completion of discharge processes
- TPA/insurance coordination and pending case reduction
- Compliance with hospital SOPs and quality standards
- Operational efficiency and interdepartmental coordination

Preferred Experience Candidates with experience in IPD operations, bed management, patient flow, discharge coordination, hospital administration, or healthcare operations will be preferred.
