– MIS Executive
Role Overview The MIS Executive will be responsible for MIS reporting, sales order tracking, production coordination, stock monitoring, plant data collection, reconciliation and management reporting. The role requires strong coordination with Sales, Production, Stores, Dispatch and Plant teams to ensure accurate and timely information.
Key Responsibilities
1. MIS Reporting & Data Management
1.1 Prepare daily, weekly and monthly MIS reports for management.
1.2 Collect, consolidate and verify data from Sales, Purchase, Production, Stores, Accounts, HR and Operations.
1.3 Prepare customer-wise, product-wise, order-wise and plant-wise MIS reports.
1.4 Prepare ad-hoc reports, analysis and presentations as required by management.
1.5 Maintain proper documentation and filing of MIS reports and supporting records.
2. End-to-End Sales Order Tracking
2.1 End-to-End Pending Sales Order Tracking from order receipt to final dispatch.
2.2 Maintain Daily Order Status Tracking for pending, under-production, ready-stock and dispatched orders.
2.3 Monitor order ageing and highlight critical/overdue orders to management.
2.4 Coordinate with Sales, Production, Stores and Logistics for timely order execution.
3. Production Planning & Coordination
3.1 Coordinate with the Production team based on pending sales orders, delivery commitments and stock availability.
3.2 Monitor production progress against sales requirements.
3.3 Ensure production priorities are aligned with customer delivery requirements.
3.4 Conduct Production & Dispatch Priority Monitoring and highlight delays.
4. Raw Material & Finished Goods Stock Monitoring
4.1 Monitor Raw Material (RM) and Finished Goods (FG) stock regularly.
4.2 Identify and report stock shortages, excess stock and discrepancies.
4.3 Track FG Allocation Against Sales Orders.
4.4 Ensure available FG is properly allocated against pending orders.
5. Reconciliation & Analysis
5.1 Conduct Sales Order vs. Stock vs. Production Reconciliation.
5.2 Reconcile production quantities, available stock and dispatch requirements.
5.3 Prepare Sales, Stock, Production and Dispatch Reconciliation Reports.
5.4 Identify discrepancies and coordinate with concerned departments for correction.
6. Plant Visits & Plant MIS
6.1 Conduct regular plant/factory visits as required.
6.2 Coordinate directly with plant teams to collect and verify production, stock, dispatch and order-related data.
6.3 Understand actual plant status and compare it with ERP/MIS data.
6.4 Prepare plant-wise MIS reports and submit updates to management.
6.5 Identify operational issues during plant visits and ensure appropriate follow-up.
7. Issue Identification & Follow-up
7.1 Identify delays, shortages, production constraints, stock discrepancies and order-related issues.
7.2 Follow up with concerned departments until issues are resolved.
7.3 Escalate critical issues to management with proper status and relevant data.
7.4 Maintain action-point and pending-task trackers.
8. ERP & System Management
8.1 Maintain and update ERP data relating to sales orders, stock, production and dispatch.
8.2 Support ERP order punching and transaction updates.
8.3 Ensure accuracy and consistency between ERP data and MIS reports.
8.4 Coordinate with ERP/IT teams for data-related issues.
9. Report Automation & Process Improvement
9.1 Report Automation & Process Improvement to reduce manual work and improve reporting accuracy.
9.2 Develop automated reports using Excel formulas,
Pivot Tables and Power Query.
9.3 Create and maintain Excel dashboards and automated trackers.
9.4 Identify opportunities to improve MIS processes, data flow and departmental coordination.
10. Required Skills
10.1 Excellent knowledge of MS Excel / Google Sheets.
10.2 Strong knowledge of Pivot Tables, VLOOKUP/XLOOKUP, SUMIFS, COUNTIFS, IF formulas and Conditional Formatting.
10.3 Knowledge of Power Query / Excel Automation will be an advantage.
10.4 Good understanding of Sales Order, Production, Inventory and Dispatch processes.
10.5 Solid analytical and reconciliation skills.
10.6 Excellent coordination, communication and follow-up skills.
10.7 High attention to detail and accuracy.
10.8 Knowledge of ERP systems preferred.
10.9 Willingness to travel to plant/factory locations as required.
11. Qualification & Experience
11.1 Graduate in any discipline; B. Com / BBA / BMS preferred.
11.2 2–5 years of experience in MIS, Sales Coordination, Production Coordination, Inventory MIS or similar roles.
11.3 Experience in a manufacturing / chemical / industrial company will be an added advantage.

12.1 Timely and accurate submission of MIS reports.
12.2 Accuracy of sales order, stock, production and dispatch reconciliation.
12.3 Timely tracking and closure of pending sales orders.
12.4 Accuracy of plant and inventory data.
12.5 Effective production and dispatch coordination.
12.6 Reduction in reporting errors and manual work through automation.
12.7 Timely identification and escalation of operational issues.
12.8 Quality of management reporting and analysis.
