MIS and Data Analytics Executive

PROFILE SUMMARY:

We are looking for an MIS and Data Analytics Executive with at least 3 years of relevant experience to turn operational data into accurate reports, transparent dashboards and practical insights. You will support management decisions through timely reporting, performance analysis and improvements to our reporting processes and internal systems.

The role combines hands-on data analysis with workforce reporting, coordination with our Technology team and preparation of management and client review materials. It requires strong Excel, SQL and data visualisation skills, attention to detail, and the ability to explain findings clearly to business stakeholders.

THE WORK AND WHAT OUR TEAMS DO:

Our team of life-science researchers build and maintain a curated intelligence database of drugs, clinical trials, deals and companies for a leading global pharma intelligence platform. This role supports those operations by consolidating information from internal systems and trackers, analysing delivery and quality performance, and helping managers plan capacity and address operational gaps. You will work closely with Operations, Quality and Technology teams to improve the reliability and usefulness of business information.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES:

MIS Reporting and Management Dashboards

- Prepare and distribute accurate daily, weekly and monthly MIS reports, operational scorecards and dashboards within agreed timelines.
- Consolidate and reconcile data from the internal CRM, workforce management system and operational trackers; investigate missing, duplicate or inconsistent records.
- Maintain consistent KPI definitions, reporting templates, data sources and calculation logic, with clear documentation and version control.

Data Analysis and Business Insights

- Analyse productivity, quality scores, rework, turnaround time, backlog and resource utilisation against agreed targets and benchmarks.
- Identify trends, exceptions and possible causes of performance gaps; present findings and practical recommendations to Operations and Quality teams.
- Complete periodic and ad hoc analyses for management and client requirements, confirming the scope, assumptions and data accuracy before submission.

CRM and Internal Systems Coordination





- Translate business reporting and workflow needs into clear requirements for the Technology team; support the development of analytical tools and dashboards.
- Coordinate user acceptance testing (UAT): prepare business test scenarios, validate outputs, document defects, track fixes and coordinate business sign-off.
- Support existing MIS and CRM applications by investigating user issues and coordinating enhancements and release testing with Technology.
- Maintain user guides, release notes and training materials; communicate system changes and help business users adopt updated workflows.

Workforce Management and Capacity Reporting

- Maintain workforce management data and reporting on staffing, schedules, attendance, availability, utilisation and adherence to planned rosters.
- Analyse workload and productivity trends to support demand forecasting, capacity planning and roster optimisation with Operations.
- Flag staffing gaps, workload imbalances and scheduling exceptions, and track agreed follow-up actions.

Reporting Automation and AI Assisted Workflows

- Automate recurring data preparation and reporting tasks using Excel Power Query, VBA or macros, SQL and available business intelligence tools.
- Use company-approved AI assistants to support data cleaning, analysis and report drafting; validate outputs before they are used or shared.
- Protect confidential business and client information when using automation or AI tools, and document workflows so reports remain traceable and maintainable.

Business Reviews and Stakeholder Coordination

- Prepare clear presentations, performance summaries and supporting analysis for weekly and monthly client meetings and internal management reviews.
- Coordinate reporting inputs and deadlines across teams, clarify changing requirements and communicate data limitations or delivery risks promptly.
- Participate in cross-functional reviews and undertake improvement projects within the MIS and analytics function.

QUALIFICATIONS AND REQUIREMENTS:

Education and Experience





- Masters degree in Pharmacy or Science (Chemistry / Biochemistry / Biotechnology / Bioinformatics / Biostatistics / Life Sciences); or a Masters Degree in Data Science / Data Analytics / Business Analytics / Statistics / Computer Science / IT / Commerce or MBA.
- 3 to 5 years of relevant experience in MIS reporting and data analysis, including dashboard development and coordination with business stakeholders.
- Experience in a Pharma, Biotech, Life Sciences, Clinical Research or CRO environment is preferred

Technical and Analytical Skills

- Advanced Microsoft Excel skills, including PivotTables, XLOOKUP, complex formulas, Power Query and VBA or macros for recurring reporting tasks.
- Working proficiency in SQL for extracting, joining, aggregating and validating data.
- Hands-on dashboard development experience in Power BI or Tableau.
- Experience with Gen AI tools such as Microsoft Copilot, ChatGPT Enterprise
- Practical proficiency in writing effective AI prompts and using AI-assisted data workflows, with checks for accuracy and confidentiality.
- Experience with Python-based automation / custom LLM scripts is an added advantage.
- Ability to work with large datasets, reconcile multiple sources and translate analysis into clear operational recommendations.
- Hands-on experience with workforce management platforms, workload forecasting and roster optimisation; familiarity with internal CRM systems and business UAT.
- Strong Microsoft PowerPoint and Access skills.

- Strong coordination, stakeholder management and time management skills; able to prioritise concurrent assignments and meet reporting deadlines.
- High attention to detail, ownership of data accuracy and a proactive approach to resolving issues and improving processes.
