1. Job Purpose To independently manage and oversee the complete administration functions of VTM Limited Weaving Division, Virudhunagar Unit, ensuring smooth factory operations, employee welfare, security, statutory compliance, and cost-effective utilization of administrative resources.
The incumbent will be responsible for employee transportation, housekeeping, hostel management, material transportation, security, government liaison, statutory licensing, vendor management, and overall facility administration of the Weaving Division.
2. Key Roles & Responsibilities
A. Employee Transportation Management
- Manage employee transportation facilities, including buses, vans, and contracted vehicles.
- Plan and optimize pickup and drop routes based on employee locations and weaving shift timings.
- Ensure timely transportation for all shifts, including night shifts and extended working hours.
- Monitor vehicle fitness, permits, insurance, driver licenses, and other applicable documents.
- Coordinate with transport vendors for vehicle deployment, maintenance, billing, and service quality.
- Ensure employee transportation safety and control transport-related expenditure.
B. Housekeeping & Factory Facility Management
- Manage housekeeping activities across the weaving factory, offices, restrooms, common areas, and surrounding premises.
- Supervise housekeeping contractors, manpower deployment, cleaning schedules, and hygiene standards.
- Conduct periodic inspections and ensure timely closure of housekeeping observations.
- Coordinate civil, electrical, plumbing, building maintenance, and other facility-related activities.
- Ensure factory premises are maintained in a clean, protected, and audit-ready condition.
C. Hostel & Employee Welfare Management
- Manage company-provided hostel facilities for employees and migrant workers.
- Ensure proper accommodation, hygiene, drinking water, sanitation, security, and basic amenities.
- Monitor hostel occupancy, room allocation, discipline, and maintenance.
- Supervise hostel wardens, housekeeping staff, and mess operations, wherever applicable.
- Maintain hostel registers,
employee accommodation records, and inspection reports.
- Address employee accommodation-related grievances and ensure timely resolution.
D. Material Transportation & Logistics
- Coordinate transportation of yarn, raw materials, finished fabrics, stores, spares, and other materials.
- Arrange inter-unit transportation and vehicle placement in coordination with Stores, Purchase, Production, and Dispatch.
- Ensure timely movement of materials between the weaving unit, other company units, warehouses, and vendors.
- Monitor freight costs, transporter performance, vehicle utilization, and delivery timelines.
- Ensure appropriate transport documentation, including delivery challans, e-way bills, and other applicable documents.
- Resolve vehicle delays, breakdowns, and material movement-related issues.
E. Security Management
- Manage overall security operations of the weaving unit, including factory gates, warehouses, offices, and other premises.
- Supervise security agencies, deployment, shift rosters, and security personnel.
- Ensure proper visitor management, gate passes, vehicle checks, and material inward/outward controls.
- Monitor CCTV operations, access control, and security infrastructure.
- Conduct periodic security inspections and coordinate incident investigations.
- Liaise with local police and other authorities on security-related matters, as required.
F. Government Liaison & Statutory Licensing
- Liaise with relevant government departments, local authorities, and statutory bodies for licenses, approvals, renewals, and permissions applicable to the unit.
- Maintain a statutory license and renewal tracker to ensure timely compliance.
- Coordinate with relevant authorities for factory-related administrative permissions,
building-related approvals, fire safety requirements, transport permits, and other applicable licenses.
- Follow up on applications, renewals, amendments, inspections, and official correspondence.
- Coordinate government inspections and ensure the availability of relevant records and supporting documents.
- Maintain statutory licenses, approvals, inspection reports, and correspondence in an organized manner.
- Ensure transparent, ethical, and timely coordination with government officials.
G. Vendor & Contract Management
- Identify, evaluate, negotiate, and manage transport, housekeeping, security, hostel, and other administrative service providers.
- Ensure vendor agreements, service quality, manpower deployment, and contractual compliance.
- Verify vendor bills, service records, and supporting documents before payment processing.
- Conduct vendor performance reviews and initiate corrective actions wherever required.
- Identify cost-saving opportunities without compromising service quality or employee welfare.
H. Budget, Cost Control & MIS
- Prepare and monitor the annual administration budget for the Weaving Division.
- Control administrative expenses relating to transportation, housekeeping, security, hostels, and other facilities.
- Prepare monthly administrative MIS reports and expense statements.
- Monitor vendor costs, transport utilization, hostel expenses, and other administrative KPIs.
- Submit periodic reports and improvement proposals to the Unit Head / Management.
I. General Administration & Employee Support
- Ensure smooth day-to-day administrative operations of the Weaving Division.
- Coordinate with HR, Finance, Purchase, Production, Stores, Maintenance, and EHS departments.
- Address employee grievances related to transportation, accommodation, housekeeping, and other administrative services.
- Support statutory audits, customer audits, management visits, and other official requirements.
- Ensure timely resolution of administrative issues affecting factory operations and employee welfare.
