About the Role
We're looking for a Legal Operations & Case Lifecycle Expert who combines deep knowledge of U.S.
Personal
Injury (PI) litigation and No-Fault insurance law with a process-and-systems mindset. This person will serve as the internal authority on PI/No-Fault legal standards, own case lifecycle management, and drive operational efficiency across intake, workflow design, documentation, and quality assurance. You'll bridge the gap between attorneys/adjusters and the operational teams that support them, translating legal nuance into scalable, repeatable processes. This role requires hands-on experience with U.S. litigation practice and procedures.
Key Responsibilities
Case Lifecycle Management
- Own the end-to-end case lifecycle from intake and initial case evaluation through treatment/investigation, demand, negotiation, arbitration/litigation referral, and resolution/closure
- Define and enforce stage-gate criteria, milestones, and deadlines at each phase of the case lifecycle.
- Build and maintain case lifecycle tracking dashboards to monitor case age, stage duration, aging/stale cases, and bottlenecks across the pipeline
- Ensure proper handoffs between intake, case management, litigation, and settlement teams at each lifecycle transition
- Conduct regular case audits to confirm files are progressing appropriately
- Partner with case management system administrators to automate lifecycle triggers, task assignments, and deadline alerts tied to case stage
Subject Matter Expertise
- Serve as the go-to expert on U.S. Personal Injury litigation and No-Fault (PIP) insurance law, including state-specific statutes, thresholds, deadlines, and claims/litigation procedures
- Advise on the full litigation process, pleadings, discovery, motion practice, depositions, mediation, trial preparation, and settlement, as it applies to PI and No-Fault matters
- Monitor and interpret changes in PI/No-Fault legislation, case law,
and regulatory guidance; translate updates into actionable internal guidance
- Advise legal, claims, and operations teams on complex case issues, coverage disputes, verification requirements, and arbitration/litigation triggers
- Review and validate case files, demand packages, pleadings, and settlement documentation for legal accuracy and compliance
Legal Operations
- Design, document, and continuously improve workflows for case intake, treatment tracking, demand preparation, litigation referral, and No-Fault arbitration/litigation processes
- Develop and maintain SOPs, playbooks, and training materials reflecting current PI/No-Fault legal standards
- Identify bottlenecks and compliance risks in existing processes; implement measurable improvements
- Partner with case management software/CRM teams to configure systems (deadlines, tolling calculations, verification tracking, EUO/IME scheduling) that reflect legal requirements accurately
- Establish and monitor KPIs related to case cycle time, compliance accuracy, and staff productivity
Cross-Functional Collaboration
- Train and support paralegals, case managers, and intake staff on PI/No-Fault-specific requirements
- Work with attorneys to ensure operational processes align with litigation strategy and jurisdictional nuances
- Liaise with insurance carriers, medical providers, and vendors on procedural or documentation issues
- Support audits, quality control reviews, and compliance reporting
Required Qualifications
- 5+ years of hands-on U.S. litigation experience, with a focus on Personal Injury and/or No-Fault (PIP) matters (civil litigation background required;
- Demonstrated case lifecycle/caseload management experience managing cases through every stage from intake to resolution
- Working knowledge of U.S. civil litigation procedure: pleadings, discovery, motion practice, depositions, mediation/arbitration, and trial preparation
- Proven ability to manage high-volume litigation pipelines while tracking multiple concurrent deadlines and statutes of limitations across different case stages
- Deep working knowledge of No-Fault insurance frameworks (e.g., verification requirements, EUOs, IMEs, arbitration/litigation timelines, applicable thresholds) in relevant U.S. jurisdiction(s)
- Strong understanding of the PI litigation lifecycle: intake, treatment/medical records management, demand packages, negotiation, litigation referral, and case resolution
- Experience designing or optimizing legal workflows, SOPs, and lifecycle stage-gates
- Proficiency with legal case management systems (e.g., Filevine, Needles, Litify, Smart Advocate, or similar) specifically using them to track case status/lifecycle stage
- Strong organizational skills with the ability to proactively identify at-risk or stalled cases
- Excellent analytical, written, and verbal communication skills
- Ability to translate complex legal/regulatory requirements into explicit operational guidance
Preferred Qualifications
- Paralegal certification, or equivalent legal training
- Experience with multi-state No-Fault law
- Background in process improvement methodologies (Lean, Six Sigma, or similar)
- Experience with legal tech implementation or automation projects
- Prior experience training or mentoring legal support staff
