1. Role Purpose The Head of Operations will be responsible for leading and controlling the end-to-end operational delivery of Geographics Interiors LLP’s projects across locations.

The role will ensure that projects are delivered on time, within approved budgets, as per quality standards, safely and in line with client expectations, while maintaining operational efficiency and project profitability.

The position will act as the single-point operational authority between Management, Projects, Design, MEP, Procurement, Commercial/Accounts, Vendors, Contractors and Site Teams.

2. Key Responsibilities

A. Project Execution & Delivery

- Lead the execution of multiple interior fit-out and turnkey projects simultaneously.

· Lead and take end-to-end ownership of all ongoing projects, ensuring timely and quality delivery from project initiation/handover to final client handover.
- Ensure project execution is aligned with approved drawings, BOQ, specifications, timelines and commercial commitments.
- Review project schedules, milestones and critical-path activities.
- Monitor planned vs. actual progress and take corrective action wherever required.
- Identify project delays, bottlenecks and dependencies at an early stage.
- Ensure timely completion, snag closure and final handover & customer satisfaction..
- Conduct regular project review meetings with Project Managers and Site Teams.

B. Operations & Resource Planning

- Plan and allocate Project Managers, Site Engineers, Supervisors, MEP resources and other manpower based on project requirements.
- Ensure optimum utilization of manpower across all active projects.
- Identify manpower gaps and arrange timely deployment.
- Review site productivity and team performance.
- Develop a structured manpower/resource deployment plan for upcoming projects.
- Ensure no critical project is affected due to resource shortages.

C. Project Management Team Leadership

- Lead and mentor Project Managers, Site Engineers and operational teams.
- Establish clear accountability and ownership for every project.
- Set project-level performance expectations and review them periodically.
- Monitor PM/site team performance through measurable KPIs.
- Resolve internal conflicts and operational issues.
- Develop a culture of ownership, discipline and timely execution.

D. Procurement & Vendor Coordination

- Coordinate closely with Purchase/Procurement for project material requirements.
- Ensure timely submission of material requisitions based on project schedules.
- Monitor material availability against project requirements.
- Track critical materials and long-lead items.
- Coordinate with vendors, contractors and subcontractors for timely execution.
- Monitor vendor/contractor performance, quality and delivery commitments.
- Escalate procurement delays that may impact project timelines.
- Support commercial teams in vendor negotiations and operational decisions.

E. Cost Control & Project Profitability

- Monitor project costs against approved budgets and BOQs.
- Review manpower productivity, material wastage, rework and subcontractor costs.
- Identify cost overruns at an early stage.
- Monitor project variations, additional works and client changes.
- Ensure commercial implications of project decisions are communicated to Management/Commercial teams.




- Work with Accounts/Commercial teams to monitor project profitability and cost-to-complete.
- Drive cost optimization without compromising quality or delivery.

F. Client & Stakeholder Management

- Act as a senior escalation point for key clients and project stakeholders.
- Participate in important client meetings and project reviews.
- Maintain strong professional relationships with clients, consultants, architects and PMC representatives.
- Resolve critical operational issues and client escalations.
- Ensure commitments made to clients are properly communicated to internal teams and tracked to closure.
- Support the Project Team in achieving high client satisfaction and successful handovers.

G. Design, Technical & MEP Coordination

- Ensure smooth coordination between Design, Projects and Site Teams.
- Review critical design/drawing issues affecting execution.
- Ensure drawings, BOQs, specifications and site requirements are aligned before execution.
- Coordinate with MEP, Civil, Interior and other specialist teams.
- Ensure technical issues and RFIs are resolved within required timelines.
- Prevent execution delays arising from design or coordination gaps.

H. Quality & Safety

- Establish and monitor project quality standards across all sites.
- Ensure execution is as per approved drawings, specifications and quality standards.
- Implement project quality checklists and inspection systems.
- Monitor workmanship, material quality and installation standards.
- Drive systematic snagging and snag closure.
- Ensure pre-handover quality inspections are completed.
- Ensure compliance with company safety requirements and applicable site safety standards.
- Take immediate corrective action on serious quality or safety concerns.

I. SOP & Process Improvement

- Develop, implement and continuously improve Operations SOPs.
- Standardize processes from project handover through execution and final handover.
- Establish clear workflows between:

Sales → Design → BOQ/Estimation → Procurement → Projects → Site → Commercial → Handover

- Identify operational inefficiencies and introduce corrective systems.
- Implement standard project review formats, reporting systems and escalation mechanisms.
- Ensure SOP compliance across projects.

J. MIS & Management Reporting Submit regular Operations MIS to the Management covering:

- Project-wise progress
- Planned vs. actual completion
- Project-wise manpower
- Material status
- Procurement delays
- Cost/budget status
- Project profitability
- Vendor/contractor performance
- Quality issues
- Safety concerns
- Client escalations
- Project risks
- Critical decisions required from Management
- Upcoming project resource requirements

K. Risk & Escalation Management

- Maintain a project risk register for major projects.
- Identify risks related to manpower, material, design, procurement, client approvals, vendors and timelines.
- Ensure timely escalation of critical matters to Management.
- Develop recovery plans for delayed projects.
- Monitor corrective actions until closure.
- Ensure operational issues are resolved at the appropriate level without unnecessary escalation.

4. Decision-Making Authority The Head of Operations will have authority to:

- Recommend/approve operational manpower deployment within approved structures.
- Reallocate project resources based on business priorities.
- Escalate underperforming vendors/contractors.
- Recommend replacement of non-performing project resources.
- Direct corrective actions for project delays and quality issues.
- Escalate commercial deviations and project risks to Management.
- Recommend process improvements and operational SOP changes.
- Recommend additional manpower, vendors or resources based on project requirements.

Major commercial commitments, salary decisions, contractual commitments and deviations beyond approved budgets will remain subject to Management approval. 5. Candidate Profile

Education

- Bachelor’s degree in Civil Engineering, Architecture, Construction Management or related discipline.
- PMP / RICS / NICMAR / MBA in Operations or Project Management would be an advantage.

Experience

- 12–18 years of overall experience, preferably in commercial interior fit-out, turnkey projects, workplace interiors.

· Minimum 8 years of Operations Leadership experience in the Interior Fit-Out industry, ensuring successful execution and delivery of multiple projects from project handover to final client handover and satisfaction

- Experience managing large project teams, contractors and vendors.
- Experience handling corporate, commercial, hospitality, healthcare, retail or large-scale fit-out projects will be preferred.

6. First 90-Day Deliverables Within the first 90 days, the Head of Operations should:

- Review all ongoing projects and identify critical risks.
- Establish a standardized project review/MIS system.
- Review manpower deployment across all projects.
- Identify underperforming vendors and contractors.
- Establish project-wise planned vs. actual tracking.
- Implement a project escalation matrix.
- Review procurement and material-delay processes.
- Establish standard project execution and handover SOPs.
- Introduce project-level KPIs for PMs and Site Teams.
- Present an operational improvement plan to Management.

Overall Accountability The Head of Operations will be accountable for ensuring that Geographics Interiors LLP’s project portfolio operates in a structured, predictable and profitable manner, with clear ownership from project initiation through execution and final handover. Pay: ₹250,000.00 - ₹350,000.00 per month
