About the Role

We are looking for a responsible, approachable, well-mannered, and caring Girls Hostel Warden to oversee the day-to-day operations of the girls' hostel and ensure a safe, disciplined, supportive, and comfortable living workplace for all resident students.

The Warden will be responsible for the overall safety, security, wellbeing, discipline, and proper functioning of the hostel and will serve as an important point of contact between students, parents, hostel management, and the institute.

The ideal candidate should have the right attitude, patience, maturity, good communication skills, and a strong sense of responsibility and accountability.

Key Responsibilities1. Student Safety & Security

- Take overall responsibility for the safety and security of students residing in the hostel.
- Maintain proper supervision of students within the hostel premises.
- Ensure that hostel safety rules and security procedures are followed at all times.
- Monitor student movement in and out of the hostel.
- Maintain proper records of student entry, exit, permissions, and overnight stays.
- Ensure that students leave the hostel premises only with proper authorization.
- Immediately report any safety concern, emergency, incident, or unusual situation to the appropriate management personnel.
- Ensure that emergency contact information for students is maintained and readily available.
- Coordinate with security personnel and management when required.

1. Student Wellbeing & Support

- Be approachable, friendly, respectful, and available to students when they need assistance.
- Build a positive and trusting relationship with students while maintaining appropriate professional boundaries.
- Listen patiently to students' concerns and provide appropriate guidance.
- Identify and report any serious emotional, behavioural, health, or safety concerns to the management/parents as per institute policy.
- Ensure students feel comfortable, respected, and secure within the hostel environment.
- Treat all students fairly and respectfully without favouritism.

1. Discipline & Hostel Management

- Ensure that hostel rules, timings, and discipline standards are followed.
- Maintain a peaceful and positive hostel atmosphere.
- Address minor disciplinary issues calmly and professionally.
- Escalate serious or repeated disciplinary matters to the management.
- Ensure compliance with hostel timings, study hours,



meal timings, visitor policies, and other hostel regulations.
- Prevent unauthorized visitors or unauthorized student movement.
- Maintain proper documentation of important incidents and disciplinary matters.

1. Leave & Student Movement

- Manage student leave requests in accordance with hostel and institute policies.
- Verify appropriate permissions before allowing students to leave the hostel.
- Maintain accurate records of students going on leave and returning to the hostel.
- Ensure proper communication with parents/guardians where required.
- Monitor student attendance and hostel occupancy.
- Coordinate student departures and returns during vacations and holidays.

Leave / Holiday Policy for the Warden The Girls Hostel Warden is required to be available and responsible for hostel operations during the period when students are residing in the hostel. The Warden's regular leave/holidays will generally be scheduled during periods when the students are on official hostel holidays/vacations and the hostel does not require regular residential supervision.

1. Hostel Administration

- Maintain hostel registers and required documentation.
- Monitor room allocation and occupancy.
- Conduct regular checks of hostel rooms and common areas as permitted under institute policy.
- Ensure cleanliness, hygiene, and proper maintenance of hostel facilities.
- Report maintenance issues promptly to the concerned department.
- Coordinate with housekeeping, security, maintenance, and other support staff.
- Monitor availability of essential hostel supplies and report requirements to management.
- Ensure hostel rules and procedures are communicated clearly to students.

1. Emergency Responsibilities

- Act responsibly and calmly during emergencies.
- Immediately inform management and appropriate emergency contacts in case of accidents, illness, security concerns, fire, or other emergencies.
- Assist students in following emergency procedures and evacuation protocols.
- Maintain updated emergency contact details.
- Ensure that any significant incident is properly documented and reported.

1. Parent & Management Communication

- Communicate professionally and respectfully with parents/guardians.
- Respond appropriately to routine student and parent concerns.




- Keep management informed about important student, safety, disciplinary, or hostel-related matters.
- Maintain confidentiality regarding student and family information.
- Provide regular updates to management regarding hostel operations when required.

Candidate Requirements
- Previous experience as a hostel warden, residential supervisor, student coordinator, school/college staff member, or similar role will be an advantage.
- Experience working with girls/students in a residential educational environment is preferred.
- Good communication skills.
- Basic computer and documentation skills.
- Ability to maintain registers and records.
- Ability to work responsibly in a residential hostel environment.
- Should be willing to be available for students when required, particularly in emergencies.
- A mature and responsible approach to student safety and wellbeing is essential.

Accountability The Girls Hostel Warden will be accountable for the proper functioning of the hostel and for taking reasonable and prescribed measures to ensure the safety, security, discipline, and wellbeing of resident students. Any serious safety, security, disciplinary, or emergency matter must be reported to the management immediately according to the institute's established procedures.
